2002 numbering different from 2000

I clicked the numbering button and typed paragraphs 1, 2, 3 and 4. While in
paragraph 4, I clicked the bullet button to change paragraph 4 to a bullet.
Then I put in 4 bulleted paragraphs. In the 4th bulleted paragraph, I
clicked the numbering button to change the bullet back to a number.

In Word 2000, this would put in a number 1 and I would go to the dialog box
and tell it to continue the previous list. In Word 2002, the option to
continue the previous list is grayed out. What am I supposed to do to
continue the numbering? (I used Format Painter to copy the format of
paragraph 3 and paint it over the paragraph under the bullets - that made it
into paragraph 4 - but is that really how I am supposed to do it?)

TIA, Vivian

You'd be better advised to use styles for outline numbering, but if you
right-click do you not get "Continue previous list" as an option?

Yikes, I just went into Word to try right-clicking to restart the numbering.
I opened a blank doc, clicked the numbering button, typed junk for
paragraphs 1, 2, 3. In paragraph 4, I clicked the bullets button - it didn't
indent the bullets under the numbers - it left them at the same indentation
as the numbers! I typed junk after 3 bullets and then after the 4th, I
clicked the numbering button and it became number 4 - but the bullets became
1, 2, 3! I went into Bullets and Numbering to reset the first bullet style
(figuring that I must have changed the definition and that is why the
bullets didn't indent) but Reset was grayed out. I am pretty sure it was the
same definition I used the other day when the bullets indented 1/4" farther
than the text above them and did not turn into numbers.

I don't use the numbering button myself. I always use outline numbering with
styles as you suggest. However, I am about to teach Word basics to some
people. With earlier versions of Word, I have included simple numbering and
bullets using the buttons - but this is crazy!

I guess that in the lesson I just won't mix bullets with the numbers. I just
tried typing 3 numbered paragraphs, then clicking the button to turn off
numbering and typing an unnumbered paragraph, then clicking it in the 5th
paragraph to turn numbering back on. I then had 2 options for turning the
number 1 into a number 4: 1) using the Smart Tag and 2) right-clicking.

I would think that by this version, numbering in Word would have been
fixed/made easier. Seems to me it is worse!

Thanks for your help.

The problems with the Bullets and Numbering buttons in Word 2002 seem
designed to encourage users to discover and use styles. For your tutorial,
how about this:

1. For a simple numbered list, apply the List Number style.

2. To get a bulleted list indented under the numbered list, use List Bullet
2.

The List Number style has these advantages over the Numbering button: (a) it
puts the numbers at the left margin as most users (at least those who have
used previous versions of Word) expect instead of indenting the list, and
(b) it can be customized (which is well nigh impossible to do with the
Numbering button).

I find that if I select several paragraphs and apply List Number, then a few
more and apply List Bullet, then some following paragraphs and apply List
Number again, the default is to continue the previous list. If I apply List
Number 2, Word starts a new list. This is just what I would expect and quite
easy to use.

By default, the List Number and List Bullet styles all apply the same kind
of numbering (1, 2, 3) and bullets (small round), but they can be
customized. Be sure to introduce the List Continue styles as well; used with
the corresponding List Number/Bullet style, they permit users to insert
continuation paragraphs with the correct indent.

Also, for users who want to number manually, the List styles are a godsend.
Just make sure you have them turn off automatic numbered lists on the
AutoFormat As You Type tab of Tools | AutoCorrect Options.
