2007 Includetext Issues

M

Marnee

Includetext is working with the following exceptions:
1. Numbered steps in a table in the source document do not display in the
new document. I created a specific style for the numbering and it is part of
the template I used for both documents. The new document shows a style Table
1, the source document style is Step 1 Table.
2. When I make a formatting change (e.g., keep w/next) in the source
document. The change is not made in the new document. I tried select all/F9
and saved/close/open - no luck.
3. I have screenshots in the source documents. Only gray squares display
in the new document. Do I need to use a specific file type for the
screenshots? Is the problem something else?

I am using the most current version of the template for the source and new
document. The field includes the switch \* MERGEFORMAT, I have tried
updating the new document with and w/out the switch. I have read every
discussion I could find on includetext, and I am at a complete loss. Any
ideas? Thanks.

1. Make sure that the style definitions are identical in both documents. If
they are not, the style definition in the target document is the one that
will be used (when you view text in the target document).

2. If you applied the formatting directly to text (for example if you
applied "Keep with next" via the Paragraph dialog box) in the source
document, it will reflect in the target; otherwise it will not. Again, if
style definitions conflict, the one in the target will be used.

3. Sorry, I do not the answer to this one.

Stefan, Thanks for your response. In the Templates and Add Ins dialog box, I
attached the template and checked Automatically update document styles for
the source and new documents. So the styles should be identical. Could the
problem be checking Automatically update document styles? I tried to use
Word help, but there are no search results for Templates and Add-ins or
Automatically update document styles. I miss contect specific help.

Hmm, I haven't tested "Automatically update document styles" with documents
that make use of INCLUDETEXT fields, but as far as I know it should work.

Are you sure that no direct formatting has been added to text (in the target
or source documents)?

At this point, I'm not sure of anything. Is there a way for me to search for
direct formatting? So far, this has been as much fun as master documents
used to be. I really do appreciate your help.

You can clear direct font formatting from the selected text by pressing
Ctrl+SpaceBar. Similarly, you can use Ctrl+Q to clear direct paragraph
formatting. You may want to test this on copies of the documents in
question.

I think I may have solved the graphics problem. If I use the INCLUDEPICTURE
field for a graphic in the source (module) document, the picture displays in
the new (manual) document. So it looks like I get to create a jpg file for
every screen shot, button and graphic, and replace the pictures in 25+ files
w/the INCLUDEPICTURE field.

Which leads me to believe the information about the INCLUDETEXT field should
be modified since what little information I could find about the field refers
to the document as a whole, not just the text.

Stefan, thank you for your time and your help.

I was premature in my announcement. INCLUDEPICTURE works sometimes, but not
all the time. So it's back to the drawing board.
