We would like to let everyone know that we have a few known issues with
embedded files/ attached files that managed to make it out with Beta2. We
have since identified them and addressed them in our current builds. Until
Beta 2 technical refresh is released you should exercise some caution when
using embedded files with OneNote 2007 Beta2.
The key issue is that duplicate copies of the files can accumulate in the
sections attachment folder and in the cache (named something like
'Filename.one, Filename -2.one, Filename-3.one etc.). This can use up hard
drive space. But more problematically it can be difficult to clean up in a
way that leaves the files correctly referenced and attached in OneNote. If
you have hit this issue then I could recommend you first take a copy of the
duplicate file so you have a backup. Then try removing all copies of the
file except the one with the highest number. Then open OneNote go to the
page where you inserted that document, double click it in OneNote to open it
and confirm whether OneNote has a correct reference to it. If that fails,
then the link has broken in OneNote (because it was possibly pointing to one
of the other copies), and you can reinsert the file on that page from the
copy you took.
This can be particularly problematic for audio recordings (which use the
same technology to store the audio recording with the page). If the link to
the file breaks in OneNote, you will also lose the index to the audio
recording that links specific notes to specific points in the recording. If
you want to clean up duplicate files for audio recordings, you could try the
above technique, but if playing the audio recording fails, then try
restoring some of the duplicates until you find the one with the filename
that OneNote was referencing.
Because of this bug, and the challenges in cleaning it up. Some of you may
wish to avoid using this feature very much until Beta 2 technical refresh is
released.
