I am trying to generate form letters in Word from data in Access. I am
sending letters to Farmers requesting them to look at the counties that they
farmed in 2006 and to verify that the list of counties is correct. The
counties that they farm is in Access in a relational data base format which
causes Word to generate one letter per county that the Farmer farms. Thus a
farmer that farms in 5 counties gets 5 different letters instead of one
letter showing the 5 counties. I have had this problem in the past and have
forced myself to convert to a flat file to generate these letters properly
but believe that there should be a way to handle this without all of that
extra work.

Hello Jason,

I understand that you want to use the Word Mail Merge to send emails to
your user. And you get the information from Access.

I assume your database table is like this:

Farmer Name, Farm Name

A Farm1
A Farm2
A Farm3
B Farm4
B Farm5

Well, in this data structure, you could not only send one email for a
farmer and include all the Farm Informations in the one email.

You may need to design a view in the Access to convert the data like this:

A Farm1, Farm2,Farm3
B Farm4,Farm5

You could refer this article to do the convertion.
