Actuals disappearing after Update

Hi guys,

I desperately need help. I had a quick rummage trough the old problems on
the forum but I can’t find anything similar to my problem.

We have recently migrated to a brand new Project Server. Everything went
fairly smoothly. We’ve imported all our existing plans trough the Import
Wizard.

The problems started when some of our Project Managers started to accept
updates. Suddenly the costs of their projects were starting to go down. the
actuals starting to go down or were overwritten alltogether.

Task with actual work of 400 hours dropped down to only 4 hours after
actuals were accepted.

But this is not happing on all of our project, for example I am the owner of
all the admin projects and they are working fine. Updates are just adding up
to the existing hours.

Is this something to do with the actual MS Plans rather than Project Server?

Please help because if I don’t come up with a solution within 24 hours I
might have to pull the plug on the migration and go back to our old and
barely functioning Project Server.

Many thanks for any advice.

Hi Scott,

That was quick. We have SP2 and the Project Server is SP
-- as well.

When you republished the assignments, did you check the box to overwrite
actuals in resources timesheets? Are you using managed time periods?

Hi Reid,

No we are not using time periods. We do not protect our actuals and we also
have the right SP2 pack on Project Server and in MS Profesional.

I am giving up. Not all plans get affected in the same way. All the admin
plans are ok. We have tried to delete the projects and import them again but
that didn’t work either. But when you create a brand new project it’s working
absolutely fine.

Any other suggestion?

Thank you for your help.

Hi Guys,

I am also experiencing this problem. As described by Veronika, we enter
actuals via the Timesheet then the Project Managers use Collaborate -> Update
Project Progress to bring in the actuals entered.

Project and Project Server are both at the latest service packs.

Project Managers are NOT using Republish Assignments, just Update Project
Progress.

If it helps, the problem looks to be occurring only when the task has been
Started but no Finish time has been entered. The Actual Start information is
being reset when Update Project Progress is being run.

I've searched Microsoft and Google for a solution and can't find anything.

Any clues?

Ian and Veronika:

Reid's question is very much to the point. If you use the Import Wizard to
import projects that previously lived in a Project Server environment, it is
essential that you use the Republish option and select to overwrite the
actual work in the dialog box. You must do this immediately after importing
the project and before entering or accepting new updates to the projects.
Otherwise, you'll see the behavior that Veronika is describing.

Hi Gary and Reid,

Many thanks for you help. We didn’t use the Republish option, hence all our
problems.

We are going to have another go on the migration following your
instructions. Hopefully this time, fingers cross, it will work.

Once again many thanks for your advice.
