in our outlook (2002/2003) address book, some names has a little icon of a
green and blue globe (it is a circle that looks like a globe) next to it.
these names are actually of people in a branch office in another location
running their own outlook and exchange server. we can then select these names
from the address book to send email to them. what does the icon mean and how
do i create these type of addresses in the address book?

Those are contacts external to the Exchange address book, meaning external to
the organization. Your regular contacts won't show this icon since it is
assumed your contacts are all external to the organization.

Employees within your organization can be found in the GAL (Global Address
Book) and shouldn't be moved to your contact folder since then it's up to you
to keep the information current (change of title, name, extension, left the
company, etc.).

how do i add these external contacts to the address book so that i can select
them when creating a new message?

You shouldn't need to add them to your personal address book/contacts since
they're already in your Global Address List. It's redundant to have them
twice. Am I missing your intent or misunderstanding?

sorry my question appears to be confusing. what i meant to ask is this.

how did the names with the icon appear in the global address list? what were
the steps taken to make them appear in the global address list?

to be precise, our organisation have 2 companies - company A and company B.

users in company A can see from the global address list the names of staff
members in company A as well as the names of staff members in company B. The
names of staff members in company B will have the icon next to the names.

users in company B can only see the names of staff members from company B
in their global address list. they cannot see the names of the staff members
from company A.

now what should i do in company B so that users in company B can see from
the global address list the names of staff members in company A so that they
can select the names of staff members in company A when sending email to
staff members in company A.
