Windows XP

I am trying to set up my Microsoft Outlook Contacts as my
Outlook e-mail address book. When I go to Tools->email
accounts and try to "add a new directory or address book"
I get a message "This account or directory already exists
and can not be specified twice." If I try to send a new
email and access my address book, I have three names in
my "Contacts" folder and nothing in my "Outlook Address
Book".

I am totally lost. I've searched my computer for a file
or folder with "contacts" in it, suspecting that I might
have two contacts folders, but came up with nothing. I
have tried MS Help. I have searched this Newsgroup. I
purchased a $50 book on Office.

Why should this be so hard? I have been dealing with
PC's since their inception back in the 80's. I develope
massive windows software applications. Yet, I can not
figure out the operating system I have to work with. And
I challenge anyone to show me how and where you can find
help on this problem.

Please forgive my venting. It's just that it is so
frustrating having to spend hours trying to find help on
a subject that should be so simple only to come up empty
time after time.

If anyone can tell me how I can make my Outlook Contacts
available as an Outlook Address Book, I would be forever
grateful. Remember, the Wizard, tells me I already have

If you go to Tools > E-mail accounts > View or change existing directories
or address books > Outlook Address Book > Change. >
What do you see there?
How many Contact Folders in your current Outlook profile?

So indeed you have already added the Outlook Address Book to your profile,
which is why you get that message when you try to add it again.
But I was asking you what you saw when you then click on the Change...
button in that dialog. And I still need to know your Outlook version.
Use View > Folder List to see the complete list of folders in your profile
and to determine how many Contacts Folders you have.

Address Book..." and one Outlet Address Book listed:
Contacts: Personal Folders. I have the option of
removing the address book.

Version: Outlook 2003 (11.5608.5606)

I don't have a menu item under View that relates to
Folder List. However, Outlook Help says I can view the
folders under Go->Folder List. Unfortunately, when I
click on "Folder List", absolutely nothing happens.

You have already added the Outlook Address Book to your profile and you have
already designated your Contacts Folder as an Outlook Address Book.
This is what you said you were trying to do--and yet you've already done it.
What is your question? Is something not working the way you expected?

When I go to Outlook->Contacts, I have a list of names.
When I go to Mail->Tools->Address Book, it isn't the same
list of names. There are only 3 names listed in the
latter that I had to enter manually so that I could send
a message to them since I couldn't figure out how to get
the Contacts to appear.. I have been trying to find out
how I can make the "Contacts List" under Contacts, be my
Mailing List Address Book.

That means the Contacts Folder you have selected to display in the Outlook
Address Book is not the correct one. Which brings me back to my original
question of how many different Contacts Folders you have in this
Profile--there is obviously more than just one.
In Outlook 2003, the Folder List icon is at the bottom of the Navigation
Pane. Click on it. Expand all folders. Search thoroughly. How many different
Contacts Folders or Personal Folders Files do you see? How did you create
this profile?

I searched the folders as you requested. There is only
one "Contacts" folder and it is the folder I would like
to have as my email address book.

If I go into Outlet->Tools->Address book, ther is a drop
down list "Show names from the...". My choices
are "Contacts" and "Outlook Address Book". "Outlook
Address Book" has no entries. "Contacts" has 4 entries,
which I entered manually when I couldn't get my Contacts
to appear and I had to send these people messages.

What is interesting, at least to me, is that any name I
enter into the email address book using this method
appears in my Contacts list. But the names I originally
imported into the Contacts list do not appear as an email
address.

For what it's worth, I imported the contacts from my
MicroSoft based PDA via ActiveSync. As I recall, I
wasn't asked any questions as to where they should go. I
did this import immediately after I purchased this new
computer and before setting anything up in Office. Hope
this adds some light.

Aha. The plot thickens. It always does.
The next thing we need to try is to reset the connection between the Outlook
Address Book and your Contacts Folder. I want you to remove the Outlook
Address Book completely from your profile (don't worry, you are not removing
any data). Close and restart Outlook. Add the Outlook Address Book back and
direct it to display your Contacts Folder (using the Changes... button).
Restart Outlook again and see if your Contacts appear.

For what it's worth, I imported the contacts from my
MicroSoft based PDA via ActiveSync. As I recall, I
wasn't asked any questions as to where they should go. I
did this import immediately after I purchased this new
computer and before setting anything up in Office. Hope

I went to tools->email accounts->view or change existing
directories or address books and deleted the entry.

After closing and reopening Outlook, I went to tools-

email accounts->directory.add->additional address book-
outlook address book (I had options of Act! and Personal

along with Outlook) and added it.

After closing and reopening Outlook again, I went to
tools->address book. In the "Show names from" drop down
list, under "Outlet address book, I got "No entries";
under "Contacts", I got the few names I entered manually.

If I need to delete the contact list with the names I
entered manually, no problem, just tell me how to do so.
In fact, if it would be easier to eliminate the contacts
that I downloaded from my PDA, no problem, I can always
redownload them.

One thing I noticed, when adding the contacts, the
message was additional address book->"Outlet address
book". I wonder about the terminology. I don't recall
coming across the term "Outlet address book" I only
remember seeing "Outlook contacts". Is there a
difference?

Outlook was alrteady installed when I purchased my new
computer in December. I didn't consciously set up any
Contact folders. Soon after purchasing the computer, I
installed ActiveSync and connected my PDA to the
computer. ActiveSync did it's thing and the next time I
went into Outlook, all of my PDA contacts showed up in
Outlook's Contacts. However, when I went ot send an e-
mail, none of the Contacts were available as possible
email addresses. Since I had to send a few emails, I
went into Outlook->tools->Address Book, and entered the
names manually. I don't know this for a fact, but I
assume the "Show names from the:" dropdown list was set
to "Contacts" since that is where the manually entered
addresses now appear.

Then this is a issue with Activesync and the way you imported the Contacts.
If you open these imported Contacts, do the email and other electronic
addresses appear correctly and are they resolved (underlined)?
You can try to repair your PST file using the Inbox Repair Tool, but I
suspect you'll need to head to an Activesync group to straighten this out.

Outlook was alrteady installed when I purchased my new
computer in December. I didn't consciously set up any
Contact folders. Soon after purchasing the computer, I
installed ActiveSync and connected my PDA to the
computer. ActiveSync did it's thing and the next time I
went into Outlook, all of my PDA contacts showed up in
Outlook's Contacts. However, when I went ot send an e-
mail, none of the Contacts were available as possible
email addresses. Since I had to send a few emails, I
went into Outlook->tools->Address Book, and entered the
names manually. I don't know this for a fact, but I
assume the "Show names from the:" dropdown list was set
to "Contacts" since that is where the manually entered
addresses now appear.

I went to tools->email accounts->view or change existing
directories or address books and deleted the entry.

After closing and reopening Outlook, I went to tools-
email accounts->directory.add->additional address book-
outlook address book (I had options of Act! and Personal
along with Outlook) and added it.

After closing and reopening Outlook again, I went to
tools->address book. In the "Show names from" drop down
list, under "Outlet address book, I got "No entries";
under "Contacts", I got the few names I entered manually.

If I need to delete the contact list with the names I
entered manually, no problem, just tell me how to do so.
In fact, if it would be easier to eliminate the contacts
that I downloaded from my PDA, no problem, I can always
redownload them.

One thing I noticed, when adding the contacts, the
message was additional address book->"Outlet address
book". I wonder about the terminology. I don't recall
coming across the term "Outlet address book" I only
remember seeing "Outlook contacts". Is there a
difference?

between the Outlook
Address Book and your Contacts Folder. I want you to
remove the Outlook
Address Book completely from your profile (don't worry,
you are not removing
any data). Close and restart Outlook. Add the Outlook
Address Book back and
direct it to display your Contacts Folder (using the
Changes... button).
Restart Outlook again and see if your Contacts appear.

For what it's worth, I imported the contacts from my
MicroSoft based PDA via ActiveSync. As I recall, I
wasn't asked any questions as to where they should
go. I
did this import immediately after I purchased this new
computer and before setting anything up in Office.

I don't have a menu item under View that relates
to
Folder List. However, Outlook Help says I can
view
the
folders under Go->Folder List. Unfortunately,
when

click on "Folder List", absolutely nothing
happens.

I didn't have email addresses on my PDA, just addresses
and phone numbers. Those email addresses that I entered
manually, are fine and I use them when preparing emails.

Thinking I would follow your advice and try to fix the
PST file, I did a search of my hard drive for any *.pst
file. None appeared. I tried three times.

Before you abandon me, can you tell me how I can
completely eliminate (delete) all possible address books,
pst's, contacts, etc. so that I can, perhaps, start from
scratch, thinking that if I setup my email address book
prior to importing, Outlook might not be as confused.

If you open these imported Contacts, do the email and other electronic
addresses appear correctly and are they resolved (underlined)?
You can try to repair your PST file using the Inbox Repair Tool, but I
suspect you'll need to head to an Activesync group to straighten this out.

Oh for goodness sake. Why didn't you tell me that?
Of course they won't show up in the Outlook Address Book! The Outlook
Address Book displays the electronic addresses of your Contacts since you
can only send messages to electronic addresses. Your Contacts have none so
of course they won't appear.

Outlook and created
your current Contacts Folder. I'm sure there is

When you re-added the Outlook Address Book Service and
clicked on Change...
to add your Contacts Folder, how many choices were you
given?

I went to tools->email accounts->view or change
existing
directories or address books and deleted the entry.

After closing and reopening Outlook, I went to tools-
email accounts->directory.add->additional address
book-
outlook address book (I had options of Act! and
Personal
along with Outlook) and added it.

After closing and reopening Outlook again, I went to
tools->address book. In the "Show names from" drop
down
list, under "Outlet address book, I got "No entries";
under "Contacts", I got the few names I entered
manually.

If I need to delete the contact list with the

names
I

entered manually, no problem, just tell me how to do
so.
In fact, if it would be easier to eliminate the
contacts
that I downloaded from my PDA, no problem, I can always
redownload them.

One thing I noticed, when adding the contacts, the
message was additional address book->"Outlet address
book". I wonder about the terminology. I don't recall
coming across the term "Outlet address book" I only
remember seeing "Outlook contacts". Is there a
difference?

For what it's worth, I imported the contacts from my
MicroSoft based PDA via ActiveSync. As I recall, I
wasn't asked any questions as to where they should
go. I
did this import immediately after I purchased this
new
computer and before setting anything up in Office.

It was the first line in your first post that threw me off: "I am trying to
set up my Microsoft Outlook Contacts as my Outlook e-mail address book." I
assumed you'd only be looking for email addresses in the Outlook Address
Book since that's all it can contain. I never realized you were looking for
Contacts without e-mail addresses.
Now, when you open the Outlook Address Book from Word, it will contain _all_
your Contacts, since you do have use for the mailing addresses there.

Of course they won't show up in the Outlook Address Book! The Outlook
Address Book displays the electronic addresses of your Contacts since you
can only send messages to electronic addresses. Your Contacts have none so
of course they won't appear.

I didn't have email addresses on my PDA, just addresses
and phone numbers. Those email addresses that I entered
manually, are fine and I use them when preparing emails.

Thinking I would follow your advice and try to fix the
PST file, I did a search of my hard drive for any *.pst
file. None appeared. I tried three times.

Before you abandon me, can you tell me how I can
completely eliminate (delete) all possible address books,
pst's, contacts, etc. so that I can, perhaps, start from
scratch, thinking that if I setup my email address book
prior to importing, Outlook might not be as confused.

Then this is a issue with Activesync and the way you
imported the Contacts.
If you open these imported Contacts, do the email and
other electronic
addresses appear correctly and are they resolved
(underlined)?
You can try to repair your PST file using the Inbox
Repair Tool, but I
suspect you'll need to head to an Activesync group to
straighten this out.

Outlook was alrteady installed when I purchased my new
computer in December. I didn't consciously set up any
Contact folders. Soon after purchasing the computer, I
installed ActiveSync and connected my PDA to the
computer. ActiveSync did it's thing and the next time
I
went into Outlook, all of my PDA contacts showed up in
Outlook's Contacts. However, when I went ot send an e-
mail, none of the Contacts were available as possible
email addresses. Since I had to send a few emails, I
went into Outlook->tools->Address Book, and entered the
names manually. I don't know this for a fact, but I
assume the "Show names from the:" dropdown list was set
to "Contacts" since that is where the manually entered
addresses now appear.
