Adjusting protected actuals problem.

I've inherited an epm installation and I'm having some problems wit
trying to make changes to some protected actuals in project serve
2003 sp1

We are using timesheets to gather time against tasks and some Actua
Work has appeared against a task in an admin plan, but when you us
Adjust Actuals in PWA there are no values in the timesheet view.

When I look at the Actual Work for the assignment in MS Project usin
the Resource Usage view it looks as if the % complete for tha
assignment has been set to 100% and MS Project has copied t
scheduled work into the actual work fields. Is this possible and ho
do I adjust these actuals

Also ..... my understanding is that protected actuals are only update
through time being submitted on the timesheets in PWA and not directl
through the project plan in MS Project, is this correct ?

The problem is that one or more tasks in the Administrative project are set
to the wrong task type (probably fixed units).

The wrrors you are seeing likely were triggered when a new resource was
assigned to one of these tasks after other resources had already reported
time against it.

To prevent the problem, Administrative projects should use the
Administrative template as a starting point. Specifically, this template has
all tasks set to Fixed Duration, note effort driven; and the "New and Change
Assignments" box is checked in Tools > Options > Collaborate.

As for how to fix the protected actuals, here is one way:

In a large implementation, it is safest to remove everyone's (except yours)
permission to Log On while you are operating.

Make sure all updates for the project have been processed.
Turn off Managed Time Periods.
In the Resource Center, go to Adjust Actuals.
Select the resource.
Set the date range to cover the period from the start of the project to the
present.
Open the project in PPro.
Go to the Resource Usage view.
Set the timeline to display days.
Select the resource and the assignment.
Copy the contents of the appropriate cells in Adjust Actuals.
Paste into the assignment grid in PPro.
Republish the resource's assignments and check the box to overwrite actuals.
Close the project.
Turn on Managed Time Periods.
Open the project.
Tools > Tracking > Sync to Protected Actuals.
Check results in Resource Usage view.

Task Types are set differently in some compared to others, my gues
is that they were set up using the wrong template as you indicated

We will have a go at correcting the actuals at the weekend

My earlier reply had a critical typo. Administrative tasks should be Fixed
Work and NOT effort driven.

To correct myelf yet again: fixed DURATION, not effort driven.

Hoo boy! Is it the brain or the fingers? Better stay away from clients
today. ;-)
