Adjusting Resources' Actuals

D

Dee

Scenario:

Created a workplan name "June." Uploaded the plan on the server and
accepted actuals from resources. Two weeks later PM decided that the plan
should be named "June-Sept."

Question 1:
How can I, as Administrator update the June-Sept plan with June's Resources'
previous actuals. The "June" plan will not be used going forward.

Went to the Resource, Adjust Actuals on the Resource Page on PWA. When I
tested using this feature on my own actuals I noticed that once I returned to
the Update page I noticed that the changes were listed in a new category Task
Adjusted.

Question 2:

Would these changes be incorporated into the workplan when I accept actuals?

Thanks!

Hi Dee,

I asume that you are running Project Serve r2003. Futher I assume that your
PM has renamed the Project "June" to "June-Sept" essentially creating a new
Project.

You can actually download a Project renaming tool from the Microsoft page,
which would have allowed you to simply rename the project to the new name,
avoiding that you now have a second project. Since this second project also
has all actual work in the schedule, will make your resources overallocated,
but since you mentioned that this June Project will not be updated, it will
only show this overallocation in the past.

To your questions 1:
the actual work in the project plan should have tacken the time from the
resources into the plan ( not actual work protected). If you want to update
the timesheet data ( actual work protected) then the steps you did with
Adjust actual is right. Since actual work is already in the project, the
category is now "Task adjusted", meaning that it will adjust your actual
work.

To your question 2:
Yes I believe they would.

BTW: In your situation I would create a Database Backup before you approve
the work the first time, just in case if something goes wrong, you can always
refer back to a prefious version.

Dee, it always is a little "dodgy" to create a project out of another
project. This can lead to spooler errors ( predomentnalty database
duplications ). I the future, I would close the June Project and would have
created a new project ( July - August ? ).

I hope this helps
