Administrative Project Issues

Renee IT/PM

We use an Administrative Project to track non-project and non-working time.
I'm using the book "Administering an enterprise PMO", page 242 as a
reference tool.

I have added two new employees to the Administrative project as Resources.

I have three issues:

1) On the Resource tab
There are several Resources that have a "message" of
"This resource should be level based on a Day by Day setting".
The two new resources have the message - but so do many others.

What does that mean and what should I do (if anything)?

2) On the Tasks tab
There are three tasks and in the Resource Names column the new resources are
listed.

But when I clicked on the cell dropdown arrow to verify the names - this
message occurs.

The resource list is too long.
A resource list that contains more than 256 characters cannot be edited or
deleted or used on the To line of a message.
use the Resource Information dialog box to edit long resource names.
<OK>

What is a "Resource Information dialog box"?

At this point the tabs (Tasks, Resrouces, et al) and the menu items
(File>Save et al) are disabled so I can not republish the project.
I have End the Task using Windows Task manager and then Check in the project
using PWA.

3) The new employees (resources) get this message when they want to enter
non-working time.

"You are not assigned to any tasks on any administrative project, such as
vacation, sick, or bereavement.

To submit time against an administrative project, you must be assigned to a
task on that project for the time period that you are unavailable for project
work.

Contact your server administrator if you feel you have received this message
in error. "

To answer your questions:

1. There is no Resource tab. Do you mean the Resource Sheet view or the
Resource Usage view? In either case, the message means that the resources
are overallocated, either in one project only or across multiple projects in
the Project Server database. You can resolve the overallocations if you
wish, or you can simply choose to ignore them.

2. There is no Tasks tab. Do you mean the Gantt Chart view? If so, it
sounds like you have assigned a lot of resources to each task in the
Administrative project. A better approach to look at the resources assigned
to each task is to click Window - Split, select a task, and then look at
each resource's assignments in the lower viewing pane (Task Form). You can
also apply the Task Usage view to see who is assigned to each task.

3. It sounds like you added the new people to the tasks in the
Administrative project but did not publish their assignments. What happens
if you open this project and then click Collaborate - Publish - New and
Changed Assignments?

Hope this helps.
