archiving tons of messages

Hi All,
can you advise me please?
I would like to help my collegue/friend to move him from PC to Mac (Mac
Newie). We are now dealing mainly with emails. I went for Entourage,
since with our current mail server and MacMail options for smtp server
he can't sent messages with MacMail, Entourage with exchange is OK.

The trouble is: he is storing all informations in mail, and if looking
something up he searches the email. His emails go back to year 2000 and
each folder/year has about 3000 messages. On PC he had just 1 profile
and with embeded *.pst archive for each eyear (separate pst. file
embeded for each year).

However Entourage works in different way-it will rather store all the
emails in 1 database and that is what bothers me-he will have gigs of
messages in one database-what is the maximum database size, Entourage
can work with? I know how to archive mail in Entourage, however that
would put his current emails in one identity and all archives in onother
identity. that will not help much since the archive is what is heavy,
plus whenever he search mesaes by spotlight in the archive he would need
to swith identity in order to read the message, which requires to switch
off all Office applications-not wery handy workfklow. What would you
suggest as the best solution?

If I manage to get a another smtp server, so he can use Mac Mail would
taht be of any help regarding working with archives? I have no
experinece with archiving and embeding archives in Mac Mail. What is the
max size of database MacMail in GB can handle?

I use EagleFiler for that (and I’m fairly happy with it).
There are several other similar apps for that, but EagleFiler makes it
easy for me and can manage files and other sorts of items from multiple
sources (so it looked like a better investment to me).

capture with F1, *definitively*
Fast, easy reliable, doesn't require multiple steps and it preserves as
many attributes as possible through AppleScript.
2. what is the realiable size of library? How much data can I store in
one library?

Huge. I'm not sure there is a limit.
You can always split your backups in multiple libraries if need be (by
subject, date...). EagleFiler supports multiple libraries.

spotlight.

That should be automatic.
Maybe you need to give Spotlight more time to index everything :-\

Since the files and notes are stored out in the open, they’re also
searchable with Spotlight (for when you want to search your entire Mac
at once), without the need for stub files in the Caches/Metadata folder.
