AutoArchive = AutoDelete ??

When I switch on AutoArchive with "Clean out items older than 1 day" en I
mark "Permanently delete old items" in my deleted items folder, will that
work also when I'm not starting Outlook?

Example: someone is on pregnancy leave for about 5 months. She creates a
rule that all incoming mail will be directly routed to deleted items. With
above mentioned AutoArchive, will her mailbox not ran out of space in the 5
months?

No, AutoArchive will not work for this. In AD U&C configure a retention
policy for her Deleted items so Exchange will take care of it completely.
In general a retention policy is a good idea to prevent users from building
"archives" in the Deleted Items folder.

This seems to be clear, but I do not know the meaning of "In AD U&C" so if
that can be explained it would be very helpful.

We are working with a separate department which are administering the
Exchange server, so if any action of them is needed, maybe that is ment in
the "In AD U&C" sentence part.

But aren't retention policies themselves invoked only when AutoArchive runs?
I think you'd need to use Mailbox Manager to take care of this situation.

Use mailbox manager to empty the deleted folder - if you don't want to apply
the same rule to all mailboxes in the store, you'll need to configure a rule
that only applies to her. (It's easy to do.)

In the ESM, go to Recipients, Recipient policies. right click and add a New,
Recipient policy, choosing Mailbox manger.

BTW - if you use Mailbox manager and only apply it to her mailbox (using
filters on the first tab), she doesn't need a rule to move messages to
deleted, unless she has messages in the inbox she's keeping for when she
returns (I'd move them another folder) - mailbox manager can act on any
folder you select.

I meant the one on the Storage Limits tab but that is related to the
"Recover Deleted Items" function in Outlook. Mailbox Manager is indeed the
way to go.

Back to the beginning:

- someone is going on pregnancy leave.
- she creates an inbox rule where-in all mails will be moved to the deleted
items box
- in the Deleted Items box she sets: Properties, AutoArchive, "Clean out
items older than 1 day" and marks the option button " Permanently delete old
items"

The only thing I want to know is: does this work when she is not using her
mailbox for five months, so her mailmox will not run out of space.

And if not what to do then.
note we are having a separate dept for the Exchange server.

No. AutoArchive is an Outlook feature that works only when Outlook is
running. As Diane said, the admins should run Mailbox Manager.

Simple answer: No.

Explanation: That particular rule is a "client-side" rule which
requires Outlook to be running to work.

Longer answer as to how you can actually accomplish this: Already
been written by those who know - send the Mailbox manager information
below to your Exchange Administrator and see if you can enlist their
help, or ride it out until her mailbox is full. Or, get them to
simply bounce or forward-without-copy her mail until she's back.
