Automatic backup should create backup files on my USB key

I want Office to periodically back my work up. There is no use backing it up
if my hard drive crashes. I want to be able to tell office to periodically
back my files up on to a specified external drive (in my case a USB key)

It could do this automatically, or there could be 2 save buttons (1 to save
to hard disk, 1 to save to USB key)

Have you looked at Task Scheduler as a part of WIndows?
