Automatic Formatting Appointments

In Outlook 2003 I could Label appointments using colors. I have tried to use
the automatic formatting in Outlook 2007 but only a few if any of the
appointments will become colored. An example of my usual appointment has "1
Smith" in the Subject space. When I do the auto formatting, I click add and
choose a name and color. I then click condition and in the Appointment Page
put "Smith" in the Search for the word: field and then choose "Subject field
only" for the In: Field. The calendar does go back for several years and is
updated monthly. There are at least 2 appointments like the above for each
day. No other times or information is included in the appointment. Am I
missing something or has something changed in 2007. I also removed all the
colors associated with categories so that would not interfere.

Do the appointments have categories? Even if no color is assigned to a
category, if it has a category automatic formatting won't apply.

Yes, it seems the ones that did not format did have categories assigned to
them. I will experiment with my calendar, but that does seem to be the
problem. Thanks for the help.

Hi,

We use Microsoft Outlook 2007 and Microsoft CRM 4 and, the problem is when
we track an appoinment in CRM, CRM clears all my manual color categories and
adds the "[CRM] Regarding: ...case..." category...

So is it possible to change the precedence with automatic coloring over
manual coloring (with categories) or is it possible to turn off the CRM
category somehow without affecting CRM's tracking function?

I don't know anything about the CRM app so I don’t know what it can do, but
if there is a color category, you can't use automatic formatting to change
its color.

I am assuming this: "[CRM]Regarding: ...case..." means the category can
change each time and is not added to the master category list - was your
test for "smith" for appointments assigned a category by CRM?

Yes, the "[CRM]Regarding: ...case..." category always changes and it is not
applied to my Outlook's master category list.

CRM also removes all categories that I have manually added to an
appointment, maybe there are some CRM tricks to prevent this, but
unfortunately I'm not that familiar with Microsoft CRM and I couldn't find
any others that have reported this problem.

This works with Outlook 2003 and our CRM4, this is because Outlook 2003
uses "color labels" and not "categories". The problem in Outlook 2007 is the
same on all of our computers.
