Basic multiple project combined resource report

B

Ben

I've set up a trial server environment to allow us to test using
project server. I'm having a problem getting it to generate reports.

I can't get a report to generate across multiple projects for resource
usage. We simply want to setup a report, preferrably a "percentage
loading per week" for all resources on all projects, weekly. Logged
in as administrator (so has all rights to all reports), when I go to
generate reports, for resources, no reports are viewable. Can't seem
to get reports to useable.

I've googled extensively and getting very frustrated.

A few points on our setup
0. project professional and server 2003
1. accounts: 2 users + administrator
2. setup 2 projects that are successfully uploaded to the server
3. adding all the resports permissions to all users and tried
generating reports logged in as Proj Mgr or administrator.

Hope someone can help us
Thanks
Ben

Assuming you are referring to PWA reports such as in the Resource Center or
the Portfolio Analyzer (OLAP Cube):

Have you published the projects (not merely saved them to PServer)?

thanks for the response reid.
I think I'm referring to portfolio analysis - yes.

Projects have published successfully.

You noted that:
"Logged in as administrator (so has all rights to all reports), when I go to
generate reports, for resources, no reports are viewable."

I'd check forst to see if any permissions asociated with ANY group of which
you are a member have some permissions set to Deny. That's a common mistake.

Next, I think you should go to PWA Admin, Manage Views, and check that
Resource Center views exist, and that they are associated with one of the
categories (e.g., My Organization) that is associated with the Administrators
group.

Let us know if none of the above works for you. There are other
possibilities.

Reid - something else to go on! thanx.
1. no deny's checked anywhere
2. added resource centre view to all the categories

I can now click on "view resource assignments" in the "Resources" which
is a great start. However I still can't access any views on the"analyze
resources in portfolio analyzer".

The view resource assigmnents, only allows to export tasks to excel,
but I really want to be able to export the gantt chart (without
exporting tasks to excel, copying into project, formatting to get the
gantt).

Have I missed the point of portfolio analyzer? Still curious why no
views available?

I notice there is no "portfolio analyzer" view catagory (only project,
prjoect centre, assignment, resource centre and timesheet). When I try
to modify a view (as administrator) (even on a copied view) I can't
assign a view to portfolio analyzer "View Type". Not sure what I'm
doing wrong here.
For example I created a view as one of the "project " types. but can't
find anywhere to actually 'apply' the view!?

thanks for your ongoing help

Now we're getting somewhere!
However I still can't access any views on the"analyze
resources in portfolio analyzer".

You have to CREATE a Protfolio Analyzer view. You cannot modify an existing
Project Center or Resource Center view to turn it into a PA view. That's why
the radio buttons are grayed out when you modify a view.
The view resource assigmnents, only allows to export tasks to excel,
but I really want to be able to export the gantt chart (without
exporting tasks to excel, copying into project, formatting to get the
gantt).

Sorry. That feature is not available... yet. However, you will find that
PA will let you export a GIF of the chart, as well as a pivot table of the
data.
I notice there is no "portfolio analyzer" view catagory

That's only because you haven't yet created a PA view. There are no PA
views "out of the box."

Reid - I meant to follow up ask - is there a simple way to create a
conflict report to show overallocation i.e. the percentage use per week
per resource - the gannt chart visually shows and over lap but seems
this is necessary for HR planning.

Although I can see all the report types in the admin section, I can't
actually seem to "apply" them! - what am I doing wrong!?

thanks again

The report described in this article might not be exactly what you are
looking for but it might get you started down the right road.

Building an Enterprise Resource Usage View

here are the rest of the articles I wrote for TR that cover Portfolio
Analyzer views. They all reference 2002 but all should still apply to
2003. They will give you an overview of SOME of the things possible and
might give you the starting point for building the views you need.

TR has STILL (after years of me asking) not updated the code in Listing
A of this article. The second link above fixes that code.
