BOLD Toggle: All text in document is REVERSED

Greg Purvis

Hi.

I'm trying to copy a block of text from one document to another.

In the source document some of the text is in Bold.

When I paste the text in the new document, the text that wasn't in Bold is
now Bold, and the Bold text is now normal.

Did I accidentally hit a key combination at some point in the source *or*
the target document, so that MSWord thinks that the text all has to be
reversed when it's copied?

How do I re-toggle the text so that it changes back from this
'photo-negative' state it's in now?

Thanks for any help.

Hi Greg,

The style you use for the pasted text is defined as "bold" in one document,
and "not bold" in the other.
Change the style definition, and everything should be fixed.

Hi.

1) Thanks for that information. I'll watch for that Style setting now when
I'm building a document.

2) The 9-page document from which I'm copying text, though, is still giving
me problems, and I'm wondering how to fix that.
The way that I "fixed" the copy-paste problem was to change bold to
underline in the original document, then when I copy-pasted it I changed the
text to "Normal" and then replaced the underlined text with bold, that was
the only way I could find to change the 'photo-negative' (Bold is not bold &
not bold is Bold) problem.

I don't understand enough of the Styles yet, in terms of setting them or
changing them - especially, how to now change nine pages of text to a new
setting affecting the whole document:.

When I blocked the text in the problem document and changed the Style
setting from Normal + Not Bold to simply Normal, *all* my text changed to
Bold Text.

I'm not sure what this whole problem is *called*, so I'm not sure how to
go hunting for information in the Help files about it.

If someone could explain a bit of the underlying principles here, and get
me steered to the Help files I need to understand the whole thing and make
the changes in that document so that it complements the settings in other
documents, that would be a big help too.

Thanks in advance

Hi Greg,

Say you have to different docs. Both have a "Normal" style, but it's defined
differently.

If you copy text in "Normal" style from one doc to the other, it'll keep the
style, but since the style looks differently in the other doc, it will
aquire new formatting.

Usually, that is what you want: You have "Normal", "Heading 1" and a couple
of other styles in the document, and you want text pasted from somewhere
else to aquire the proper formatting for the document you paste into.

Now if you apply manual formatting on top of the style formatting, things
get messy. From the sound of it, that is what happened in your case.

In one of your documents, the style was defined as "bold", and had manually
applied "bold" on top of that to make it "not bold".

Word will keep the manual formatting when you paste text. Those parts that
were bold in the original file turned "not bold" (since that is the style
definition in the new doc), while those that were not bold (style "bold" +
manual formatting "bold" on top) turned "bold".

Your way to fix it is probably the best and most elegant that can be
achieved.

http://www.shaunakelly.com/word/ has very good info on styles, and goes into
more detail.
The way Word works really isn't bad at all. It's only when styles are
defined improperly, or manual formatting is used extensively, that you run
into problems.
In your case, a style that's used for body text (presumably) shouldn't have
been defined as "bold".

Klaus

To add to Klaus's explanation: two key strokes that you may find useful are:

Ctrl+Spacebar = Reset Character Format
Ctrl+Q = Reset Paragraph Format

If you select the paragraph giving the problems and apply both those
shortcuts, if effetely removes all direct formatting leaving the underlying
style only. It should get you back in control of the situation!
