OL2000: (CW) Direct Offline Booking of Resources
NOTE: The procedures in this article only apply if you have installed
Outlook with the Corporate or Workgroup option. With this option, you can
use Messaging Application Programming Interface (MAPI) services. To
determine your installation type, click About Microsoft Outlook on the Help
menu. If you have the Corporate or Workgroup installation, you see
"Corporate or Workgroup".
SUMMARY
Microsoft Outlook 2000 allows you to schedule a resource, such as a
conference room or piece of equipment, without the Microsoft Exchange
account assigned to this resource being online to accept the booking. This
article outlines the procedures associated with this feature.

To Enable Offline Booking
To enable offline booking of resources, follow these steps:
Start Outlook with a profile configured for the Resource account.
In the Folder List, right-click the Calendar, click Properties and then
click the Permissions tab. Click Add to build a list of individuals who
will be booking appointments for the resource. Permissions should be
granted to View and Edit items on the Resource Calendar. The Author Role
provides these permissions.
On the Tools menu, click Options and then the Preferences tab, click
Calendar Options.
Click Resource Scheduling and then in Processing Meeting Requests, click to
select "Automatically accept meeting requests and cancellations." The
remaining selections, Automatically Decline Conflicting Meeting Requests
and Automatically Decline Recurring Meeting Requests are optional.
To include attendees and resource reservation in a meeting request, follow
these steps:
On the Actions menu, click Plan a Meeting. Click Invite Others and in
Select Attendees and Resources select and add Required and Optional
attendees.
Add the Resource to the meeting list by selecting the resource account and
then clicking the Resources. Click OK to complete the Attendees and
Resources selection.
NOTE: Automatic offline booking of a resources will not occur if the
resource is added using the Required or Optional buttons.
