Can Outlook 03 delete junk mail from server?

C

CJSnet

This is a question, and a suggestion. I leave my computer on when I'm out
(it runs Windows Media Center) so it also downloads mail. When I am out, I
use my Windows Mobile to check e-mail. However this also means I am
downloading junk on my mobile, wasting time and money.

Outlook 2003's Junk Mail handling seems fantastic, but the trouble is after
it moves mail to my Junk Mail folder, it leaves it on the server.

I need to leave all mail on the server for 24 hours, so I can catch it while
I'm out, but wouldn't it be great if Outlook removed any suspected Junk Mail
from the server, but kept it safely in the Junk Mail folder for later
double-checking?

I realise I can set it to delete Junk immediately, and set the server to
delete items once removed from Outlook, but that way I don't get the safety
net of checking them when I get home.

Thanks in advance for any ideas, and to MS if you implement this in the next
minor update.

Outlook rules run on messages once downloaded - so the quick answer is that,
No, Outlook cannot delete messages from the server.

Post all replies to the group to keep the discussion intact. Due to
the SWEN virus, all mail sent to my personal account will be deleted
without reading.

After searching google.groups.com and finding no answer, CJSnet asked:

Actually it can. If I set it to delete junk mail permanantly, and not move
it to the junk mail folder first, and set the advanced server settings to
delete from the server when removed from deleted items, then all my junk
mail is deleted from the server, but my other mail is left on it.

However this runs the risk of deleting genuine e-mails that are mistaken for
junk. All we need is an extra setting in junk mail options with a tick-box,
called:

'Remove suspect junk mail from server'

This tickbox is only available when using options 2-3 of the 4 junk mail
options, so the mail is still safely stored in the junk mail folder for
later review.

Anyone else agree this would be very handy for those using mobile devices to
download e-mail?

When you do that, its downloaded to outlook then deleted from server. Milly
means Outlook can't delete directly from server - i.e., you can't create
rules to tell outlook to delete it from the server without downloading it.

But I don't want to 'create a rule telling Outlook to delete it from the
server without downloading it'!

I don't think I can explain it any easier than I already have done, sorry.
Hope someone else gets what I mean by this:

"wouldn't it be great if Outlook removed any suspected Junk Mail
from the server, but kept it safely in the Junk Mail folder for later
double-checking?"

E.g.:
1. Outlook downloads all mail to Inbox
2. It applies Junk Mail rules and moves some mail to the Junk Mail folder
3. Anything that it moves to the Junk Mail folder, it leaves there, *but
also* deletes from the server

- When the user is travelling this means he is not downloading suspected
Junk Mail from his server to his mobile device
- When the user gets home, he can double-check the Junk Mail folder for
any Outlook got wrong (unlikely)

Does that make sense now? ;)

As we've said, it doesn't work like that. . if you have outlook set to leave
mail on the server, it will. You can't even use rules to delete from the
server because outlook doesn't support such rules.

A server side antispam program would be better for you needs, not a client
side program like outlook.

Okay Diane, thanks for the response.

I hope MS will consider it. As I have said, Outlook *CAN* and *DOES*
already remove junk mail from the server whilst leaving non-junk mail
intact, so I don't entirely agree with your response implying Outlook isn't
the client for the job. Here's how to achieve it:

1. Set your account settings to delete messages from the server when
removed from Deleted Items
2. Set Junk E-mail settings to permanantly delete suspect junk
3. Set an automatic send/receive every few minutes
- The result of this is Outlook downloads mail, and if it is suspected to
be junk, it deletes it locally *and* sends a message to the server to remove
it from there

This is great as far as it goes. My tiny teeny suggestion is that Outlook
do everything it already does, only keep a backup of the suspect junk in the
Junk E-mail folder.

I wonder if there's a rule you could work out that does this:

- If an e-mail "A" appears in the Junk E-mail folder
- Copy (duplicate) "A" into that same Junk E-mail folder "B"
- Delete "A"

This would have the effect of leaving a backup in Outlook, but deleting the
original, thus triggering the server to delete it also.

Trouble is, I don't know/can't see a way to set up a rule that works on
e-mails which Outlook's junk handling put in the Junk E-mail folder.

Any ideas on my concept?
