Can't archive Inbox

M

mchild

I am using Outlook 2000 on a W2K Pro OS. The archiving function is only
partially working. It will archive all my folders except my Inbox. I get an
error message stating the function could not be completed. Trying to figure
out if there is a certain mail item that is causing the problem – i.e.: a
corrupted item, I have tried to move one item at a time and find that no item
can be moved from the Inbox. I have un-installed Office and re-installed it
without getting this function to work.

Does anyone have a suggestion on what may fix this?

Is your inbox in a PST? If so, were I you, I'd create a new PST, make it
the delivery location, then copy everything from the old to the new, closing
the old when done.

Brian,

Yes, it is in a PST. I too had the thought as you suggested - to move
everything to a new PST file, but when I could not copy any of the Inbox
items I could not figure out how to do that. What do you suggest?

Many thanks,

Mark

In your original post you said you couldn't "move" anything. I suggested
"copy", a different operation. So, if you create a new PST and then select
an item in your Inbox, right-click and choose copy, specifying the new PST
(or a folder therein) as the destination, you get the error? Can you open
and read (not with the Reading Pane, but an actual open) items in the Inbox?

Brian,

Yes you did say ‘copy’ and I have now tried that, but when I right click I
do not get copy as a function. I can ‘Move to Folder’ only.

This is what I have done. I created an Inbox II in my Archive.pst file. I
was able to move to it from my active .pst Inbox and from my Archive Inbox.
Therefore, I moved all of my previously archived Inbox mail to that folder.
One item could not be moved (same error message as I was receiving before) so
I deleted that one message altogether and assumed that was the problem along.

Then I deleted the now empty Inbox from the Archive.pst and renamed Inbox II
to Inbox. Once I did that I could not move items again. As a current work
around I have renamed Inbox, once again, Inbox II and created a new Inbox so
that AutoArchive will transfer my active Inbox to the Archive Inbox. I have
tested it briefly and it will allow for moving items to it. I have also
tried to run Detect and Repair from the Outlook Help menu but it says it
can’t run for some additional unknown reason.

Do you have any other suggestions/

Many thanks for sticking with me on this.

Can you describe the items you get in the menu? For example, when I
right-click any mail folder, the context menu I see contains

Open
Send Link to This Folder (grayed out)
Advanced Find...
-----------------
Move foldername...
Copy foldername...
-----------------
Delete foldername
Rename foldername...
New Folder...
------------------
Add to Favorites Folder
------------------
Mark All as Read
Process All Marked Headers
Process Marked Headers
------------------
Sharing (grayed out)
Properties
Then I deleted the now empty Inbox from the Archive.pst and renamed
Inbox II to Inbox.

This, I believe, may be an issue. I personally don't know how Outlook will
behave with folders named after the default folders being manipulated in a
non-delivery PST. It may be unimportant or it may be that you should allow
only Outlook to manipulate folders with default names. I don't know enough
of the actual internals of Outlook to know.

Brian,

Wow you have an entirely different menu. When I right click on a mail item
in my Inbox I get the following:

Open
Print
------------
Reply
Reply to All
Forward
------------
Flag For Follow-up
Mark as Read
Categories
------------
Find All
Junk E-mail
------------
Delete
Move to Folder
-------------
Options

There are no grayed out items.

Notice the word "folder" there? I did not said "right-click on a mail
item". Right-click on the folder in your Navigation pane and you'll have
the option to copy the entire folder. If you want to copy a single item,
right-click and drag it to another folder. You'll then be able to select
Copy when you release the click.

Move all of those messages out of the Inbox into other folders. The Inbox is
not meant to be a depository for messages that you plan on keeping and
should be kept as empty as possible.
