Change signature type for new mail or replies

H

Hari

Hi,

I have an email account configured with my email address (company's) in
Microsoft Outlook 2002.

Mostly I send email messages with my name in the bottom and contact
address etc in it. I have configured a signature with "Business" and it
is my default mail signature.

Sometimes I need to send email with different signature in the bottom
(like name of all team members or just the name o my team rather than
my name) and I have made a new signature called "Team". This is not my
default signature.

When I write a newmail (or send replies) I want to control as to which
signature I want to us. Im happy with default being "Business" type
signature but around 20% of the mails sent by me are team mails. Now,
if I click on New message or reply/reply to all I would like the
ability to change to a different signature. Is this possible?

(I see that one can change the email account from which a mail is being
sent using Accounts option dropdown, but similar drop-down option I
couldnt find for signature)

Please guide me for the same.

Regards,
Hari

Insert->Signature. Do not use a default, rather insert the appropriate
signature based on the content of your message.

I unchecked the option for default mail signature for both New mail and
replies and then clicked on a new mail. I dont have any signature in my
mail presently. I went to Insert --> But it has no sub-menu option
called as Signature. Rather, I can see sub-menu options like Break,
Date and Time, Auto text etc. I went inside each of them. Autotext is
the only one which has signature option within it. But the signature
itself offers the name of the IT person of my company (he installed
Office in the computer I use before I joined this company). This option
doesnt offer options like "Business", "Team" etc the different
signature names I have created.

Dont know where am going wrong. (Im still scratching my head and might
become bald soon)

Hari

Are you using Word as the email editor? If yes, then please repost your
original request that includes your Outlook version. You can do this using
Word (Outlook 2003 is easier) or Outlook editor but the version is required.
Please post back if you are using Word as the editor (sounds like you are)
and the version of Outlook/Office.

If you use word as email editor, you can find signatures behind Options
button in e-mail.

Milly and Paukkule,

Yes I use word as my mail editor.

Before posting my problem I had played around with option button but it
ddidnt help me.

Specifically Optons button has drop-down with folowing entries -->
Options, Email, Signature, Stationary, Bcc , From.

This is the step-by-step procedure I followed

First I bring my cusor to body of the message (when i click on new
mail, the cursor is in To row by default) I then go to Options and then
from drop-down choose Email Signature and then from the dialog box
named "Email options" I choose "Team" as name of my signature from
first window (there are 2 windows with header of first window being
"Type the tile of your e-mail signature or choose from the list and
second window below it is for "Create your e-mail signature") and then
press OK.

Nothing happens. My body of the message is blank and there is no
signature in it. I have tried this by choosing other signatures also
but with no results.

I dont know where am missing it.

Also a side question. Do more folks use word as editor or outlook
itself. I thought word option is better. Would appreciate comments from
you people.

Hari

You are right, it really works like you told. It don´t bring enything. you
can get signature to your letter if you have add it to options New / reply
and forward.
This is one reason, why I dont use Word as email editor.
I think most users select outlook to be email editor.

Milly,

My version of Outlook is 2002 (10.2627.2625) (along with Word 2002). I
hope you are able to help me.

If possible I would also like to know as to how to do this for:-
a) Outlook 2002 with Outlook as editor
b) Outlook 2003 with Word 2003 as editor
c) Outlook 2003 with Outlook as editor

so that I can help some of my colleagues here who use different
versions/editors than myself.

Hari

A + C) create as many signature as you want from Tools - Options - Mail
format page. If you want, you can add values to fields "signature to new
mail" and "signature to reply and forward".
create new mail -> if the signature is not "right one", paint it and add
other from menu Insert - Signature.

B) Only way I can change or add signature to "word editor" mail is to open
button Options, select signature name and in lower window I have to paint the
signaturetext and copy it (Ctrl +c). Close signature window and paste (Ctrl +
v) the signature in the right place in e-mail.

The Insert SIgnature option is not on the Insert menu. You MUST have a
default signature (even if its blank) and then you can right-click on the
signature in the message to get your choice of the signatures you have
defined.

Brian,

Thanks for your post.

It works really well and that too without any pain.

Im surprised nobody came up with this before. Anyway am happy that I
persisted with this group. I would pass this on to my colleagues.
