Clarification - What governs who can see a Project Workspace?

S

Steve

Please can someone clarify - must a Resource be added to the Project team in
order for them to open the corresponding project workspace? Does this
include Execs who are higher up the RBS? I have several Execs who I want to
be able to open underlying workspaces and to individually add them to the
project teams is going to be a pain. These execs can all see and open the
underlying Enterprise projects but are not able to open the underlying
workspaces. Please advise what the rules are.

thanks

Hi Steve,

You can customise it, but out of the box team members can only see projects
where they are project team members. when you assign the team member to the
project team but not to a task, the team member has read access. If you
assing a team member to a task, they get contributer access.

Out of the box execs have read right to the schedule and the workspace. If
this is not the case in your environment you either have to sync the security
or someone has amended the security rights.

Hope this helps

Hi Marc,

Having checked the permissions for my Exec Group, no changes have been made
since "out of the box", I have also resynched teh workspaces in question,
which permission/s is it that I should be checking for? The Execs can
currently see the workspaces listed in the Project workspace webpart but
can't get into them??

Hi Steve,

just to clarify, when you say the Exec cant get to the workspace does that
mean they get an access denied? Generally if you can see the project you are
able to see the workspaces too, depending on what permission is set to, this
may be read access or contributer access. Can you check the workspace
permissions to see if your Execs are part of the users within the workspace?

If permission doesnt work, have you gone into PWA Server settings > Project
workspaces, highlight a project where the access doesnt work and select the
syncronise permission button? If not can you please try and see if this
rectifies the issue.
Let me know how you go

Hi Marc, yes they get an access denied, just for the workspace. I have just
checked the categories and set the My organisation category to show All
projects. This has done the trick ok, but there will come a time when i
don't want some junior execs to see all projects. Will I then have to adopt a
policy of just adding execs to project teams on a project by project basis so
that they can access the workspace?

Thanks in advance.
