Clearing out timesheet entries per project

R

Randy

We are running MSP 2003 and are wondering if there are any database utilities
or queries that we can run to remove all the timesheet information for
certain projects. We want to change the way we are capturing hours by having
a seperate Admin time tracking project for certain projects. The problem is
that we do not want to loose the Actuals that have already been posted but
yet we want to remove all of these projects tasks from the resources
timesheets. This would allow us to clean up their timesheets and make sure
they are reporting time in the correct place. We cannot have our resources
just hide these tasks because some of them have hundereds! We know that by
deleting the projects from the server the timesheet entries would be removed.
We could then import the project back to the server and not publish the
assignments back out. This would take a great deal of time because we are
talking about 120 projects to start with. Any suggestions will be greatly
appreciated!

Thanks!

There are several solutions to this problem, none of which are quick and
simple. They are:

1. Ask your project managers to save each of their projects as .mpp files
and then have the Project Server administrator delete the projects from the
Project Server database. All actuals will remain in the .mpp projects, so
you do not lose them using this process. Your PM's can then rework the .mpp
project files and import them back into Project Server without publishing
the assignments until they are ready to go live again.

2. Ask your PM's to open each of their projects and click Tools - Build
Team from Enterprise. In the dialog, set the Booking value for each team
member to Proposed, and then click OK. Republish the project using
Collaborate - Publish - All Information. Performing this set of steps will
remove all assignments from each team member's timesheet for each project in
which the steps are performed. Your PM's can then rework the projects as
they need to do. They will need to reverse the Booking value to Committed
and republish the project when they are ready to "go live" again with the
timesheet system.

Just a couple of thoughts. Hope this helps.

Dale,

Option #2 worked great! The only thing I did differently (which seemed
easier to me) was to simply change the booking type via the Resource Sheet.
HOWEVER, the only gotcha that I have found is that these tasks still show
under View Resource Assignments via the PWA and unfortunately they are not
flagged in any way to indicate they have been removed. I'm sure that will
cause problems for anyone using the View Assignments view.

Thanks for your help!
