Closed Projects

Hi there,

Is there a way to create an area so that closed projects do not show up in
the Project view. Is the only answer creating another instance of Project
and archiving them.

I am curious to see what other people are doing with the closed projects.

You have a couple of choices, none of which is perfect:

1. Create an enterprise custom enterprise Project outline code field called
something like Project Status that includes values such as Planned, In
Production, On Hold, Cancelled, and Closed. Set the appropriate value for
each project in this field and then publish the project. Create custom
Views in the Project Center and Portfolio Analyzer that show all projects
except closed Closed Projects.

2. Create a new Project Server instance, move the closed projects to that
instance, and delete the closed projects from the production instance.

I will invite others to share their experiences with you as well.

We use the first method and it's worked just fine for us. We also
added a view to the drop down in project center called Archive. When
that view is displayed only the closed projects are shown.

We are also using the first method. While we haven't started officially
calling something "archived," we do have a view that filters out all closed
projects, so that users only have to see projects in planning and execution
stages.

For option 1, is there a way to control what the user sees in the "Open
Project" dialog in MS Project Professional ? The problem we are having is
that baselined and archived versions of the projects can be hidden from views
but they still show up when opening a project in MS Project.

Right now the workaround is to have someone keep the projects checked out so
they are greyed and can not be opened by mistake but I don't think we have
the best "enterprise" solution there ;)
