Co-hosting a shared calendar, or ???

Hello everyone!

I've seen a similar question to mine, but it's not quite what I'm looking
for, so hopefully someone here will be able to guide me in the right
direction. I've created a couple of shared company calendars for our staff
to use in order to book boardroom time and such using Outlook 2007, and
they've been working out smashingly. Now, however, I've been asked to create
a shared calendar for a resource, which means that the two individuals
responsible for setting up said resource *also* need to be informed.

Basically, I'm wondering if there is any way of adding a co-host to a shared
calendar or, barring that possibility, setting up an automatic notification
whenever someone books the resource through the shared calendar that will
notify not only myself (as host) but the other two people that need to set it
up. In case someone suggests that one of those two people should just host
it so that they get the notification, I'd just like to establish that I need
to know when this resource is booked, as well, as I am responsible for it's
use and logging.

If Microsoft Outlook 2007 isn't capable of doing anything like this, does
anyone have any ideas on how I could accomplish this? Perhaps another
program or an application, an add-on of some sort? The only other way would
be for me to have to notify these two people by e-mail every time someone
books time in the shared calendar and, while I *can* do that, it's not the
ideal situation.

Hello Diane!

Yes, sorry, I should've specified that we are, indeed, on an Exchange
server. We've actually got Sharepoint, but it hasn't been utilized very
much, and I've been thinking that that may be a better tool for what I need
to do.

Is the shared calendar in the Resources mailbox? You can set up a rule to
forward the meeting request to both. You'd need to open the mailbox in
outlook and set up the rule. Or they can just open the calendar in their
profile and review it.

Hello Diane,

I haven't set the calendar up yet, I'm researching the best way to do it,
but you've raised a good point about the rules. After doing a little digging
in the Rules and Alerts box, I'm not sure if this will work the way I need it
to. We may have to think outside the box and use something other than
Outlook. I've spoken with our tech guys and they've suggested using
Sharepoint, so I'm going to keep your suggestions in mind while I continue to
investigate the possibilities.

Sharepoint will work too, but I don’t think it can autoaccept, but if that
isn't a problem it will work. Most people use a resource mailbox (best
choice) or a public folder calendar.
