contacts lost when merging to word from excel

Version Office 2002 SP3. Merging from an excel file to a
word template. When previewing the merge the names are
there but when the merge is completed some names
disappear. Is there a fix for this?

Do you possibly have a <<Next Record>> fields somewhere that it is not
required.

We have the next record field at the end of each nametag
label. Is it possible to send you our template to look at?
There is also an error message that appears when opening
the word template.

Opening this document will run the following SQL command:
Select *From "PIL Pueblo rsvp list$"
Where 'RSVP'= 'Attenting' Order by 'Lastname' ASC

Data from your database will be placed in the document. Do
you want to continue? Yes or No (I am assuming that this
is a warning that we are requesting some of the fields out
of the excel sheet)

We have tried both the Yes or No and contacts are still
dropped off. For some reason, when a new machine opens the
files and does the merge, it works. When reopening the
files several times it starts corrupting the data. We have
tried renaming the files and that doesn't work. What would
be the next step to try?

The <<Next Record>> field normally goes before the first mergefield in
every label EXCEPT the first label on the sheet.

It will probably work if you have it at the end of each label, BUT then you
should NOT have it at the end of the LAST label on the sheet.

To overcome the SQL message problem, see this Knowledge Base article

"Opening This Will Run the Following SQL Command" Message When You Open a
Word Document - 825765" at:

There is a next record at the end of each nametag label.
The merge works for the first time on a different computer
using the same files but when merging over and over it
starts to drop off contacts. Merging between Word and
Excel is inconsistent. Is there another way to merge from
an Excel file into Word without loosing contacts?

There are definitely problems with the default OLE DB
connection method used by Word 2002 and 2003 with Excel.

Try activating "Confirm conversions on open" in
Tools/Options/General so that you can choose how you want to
connect to a data source after choosing the data file. Try
DDE or ODBC.

Tried activating the "Confirm conversions on open" and
chose the DDE & ODBC option and it seemed to get worse.
Starting getting "Word recovering your documents". Is
there a way to replace the OLE DB so the merge will work?
or any other suggestions? Thank you.

Huh, this is the first time I've heard this happens...

If you
-hold down CTRL, then start Word (in Safe Mode)
- set up a mail merge in the new document that's
displayed
- using Confirm Conversions

do you still get the problem?

Yes, I still have the problem. Is there any other way to
use the merge feature between Word and Excel and not have
contacts dropped? Would you be willing to try our files
and see if you can get it to work?
Thank you.

I am not sure if this helps, but I was experiencing the same symptoms you originally posted. I finally did a reinstall of Office and everything worked from there on.

Hi Tara,

I think the advice about something being wrong with Office
is probably correct. Before going through an
uninstall/reinstall, try running "Detect and Repair" from
the Help menu.

I have done the "Detect and Repair" both in Word and in
Add remove programs. The merge did not work. I did a full
uninstall and reinstall and still the same thing. The
contacts do show up in the preview but when you do the
complete merge the contacts disappear. Any other
suggestions?
Thank you.

When I said repairing or reinstalling could help, I was
referring to the errors you were getting when trying a DDE
or ODBC connection. Have you tried these, again?

The OLE DB connection to Excel is simply unreliable if there
are "empty" cells in the data.
