Converting the data can be a large task, as often the data in EXCEL are
unnormalized ("spreadsheet design"), but the data in ACCESS need to be
normalized. It's fairly easy to import data from EXCEL into ACCESS... but
from there, the rules are very different.
I have a list of names and addresses that I want to convert to an access
base as I have further information I wish to add and for better use I would
prefer access. All I have done is use cells in excel to store each piece of
information, eg Managing Director, street, town, state, pc, company, street,
town, state, pc. etc. Normanne38
Make the first row of the Excel spreadheet give the names of the fields.
Put all data in rows under those column headers. Remove any empty
rows. In Access, Menu: File: Get External Data: Import. Point to the
Excel file. Follow instructions given by the Wizard. Read more about
all this in Access's Help file or a book on Access.
Thanks Rob this has answered my question, I was sure there was an easy way
but wanted confirmation. I have a large book called "Office 2000" but this
did not explain how to convert from excel to access very clearly and talked
about HTML and other language which is unfamiliar to me. Thank you so much.
The Office books don't generally tell much useful about Access. Access
is an "industrial strength" database system (front end and database
engine). Don't be misled into thinking that just because it has the
Office "label" it should be as usable as Word and Excel is. It is a very
sophisticated tool which requires some degree of expertise and
experience. Also, HTML is really not a "language". It is a way to
"mark-up" text and other content for presentation in a HTML rendering
"engine", e.g. a web browser.
Thanks Rob, I use Access mainly for mail merge so don't really understand all
the ins and outs of it. I have never used the design capability only the
table and design sections which first come up for entering data. I can only
just manage to change date format and other formats if I really take my time
and follow what has been done before plus of course trial and error. More
error than trial. Thanks anyway I will try what you suggest. I was just a
little bit frightened incase I did the wrong thing. Stupid I know. Thanks
