Copy and paste graphics from ppt to word messed up

G

George Smith

I'm running win2k sp4, Office 2003. I painstakingly draw these diagrams in
word only to have the scewed up when I copy and paste them into world. The
fonts are different, the locations of text in graphics boxes are different,
some of the alignment is different. I've just resored to using a screen
capture program and pasting a picture of my ppt diagram. I find it hard to
believe that MS Word and MS ppt running on MS Windows can reproduce the same
graphics.

Anyone with a clue?

Dear George,

Based on your post log, I do not have a clear picture of the issue you are
encountering. To help me provide more accurate resolution steps, please
describe for me in detail the exact steps to reproduce the problem.

In addition, please help to collect the following information to assist me
in understanding this problem better:

1. Which application do you create the diagram, Word or PowerPoint? I
noticed that you have mentioned " I painstakingly draw these diagrams in
word" and "pasting a picture of my ppt diagram". So I am confused about
which application you used to create the diagram.
2. Can this issue reproduced in any diagrams or only these diagrams you
created?
3. How do you create the diagrams? Could you provide some brief steps?
4. Please produce screen captures of the diagrams which display correctly
in PPT and incorrectly in Word and send them to me, so that I can
understand the problem better.
How to take the Screenshots
--------------------------------------
a. When the problem or error message appears, press the "Print screen"
key on the keyboard (this may appear on your keyboard as 'PrtScr', or
something similar).
b. Click "Start ", click "Run" and type mspaint in the open box. Click
"Ok".
c. In the "Edit" menu of the mspaint program, point to "Paste", and
click "OK" in the following dialog box.
d. Now your screenshot will be pasted in "Paint".
e. Select "*.gif" or "*.jpg" when you save the picture.

Note: Repeat the steps to create more screenshots if necessary.

5. Can this issue be reproduced in other Office applications, such as
Excel?
6. If possible, please send the samples experiencing this issue so that we
can try to reproduce the problem on our end and identify the root cause.

You may want to zip and send the screen captures and the samples to the
email address (e-mail address removed).

In the meantime, please start Word /a switch to test this issue.

Start Word with /a switch
--------------------------------------------
Starting Word by using the /a switch on a command line causes Word to use
the default settings for all options and prevents add-ins and global
templates from being loaded.

a. Click Start and then click Run.
b. In the Run dialog box, type in "winword.exe /a" without quotation marks.
Please note, there is a space before /a.
c. Click OK to start Word with the /a switch.
d. Click Copy/Paste the diagrams to test if this issue recurs.

I appreciate you taking the time to gather the information above; it is
very important for us to narrow down the problem.

I look forward to your response.

Regards,
Ada Pan

I can't tell for sure based on your description, but if you're creating the
graphic in PPT, then select it all, right-click and choose Save as Picture.
Then in Word, use Insert|Picture|From File to get the diagram into the Word
file. Word doesn't have the Save as Picture option, so if you're creating
the diagram in Word, disregard this suggestion.

Otherwise, try the Paste Special technique Ada posted.

Hi Andy,

Thanks for your update. I have received the screenshots.

I reproduced this issue on my side. Based on my research, this issue
occurs because Office programs handle clipboard data differently when a
control is dragged, copied and pasted, or cut and pasted from one program
to another. In particular, you may notice that the dragged or pasted
control acts like a drawing object or an AutoShape instead of a control.

To work around this problem, please do the following:

1. In the original program, copy the control.

2. Switch to Microsoft Word.

3. On the Edit menu, click Paste Special.

4. In the Paste Special dialog box, click the first item in the As list
box. Usually, the first item is "Picture (Windows Metafile)."

5. Click OK.

When you do this, the control works normally.

Please try the suggestion and let me know the result at your earliest
convenience. I look forward to hearing from you.

Best Regards,

Ada Pan

Hi Andy,

Based on your information, I understand that this method doesn't work if it
consists of several diagrams.

Based on my tests and research, the way to copy/paste a simple diagram
should be different from the group of diagram.

When we paste a single diagram from PPT to Word, we can use Paste Special.
However, the complicated example consists of several diagrams. When we
copy them into clipboard, some data will be distortion. So the diagrams
might be displayed unexpectedly. To work around it, I would suggest you
firstly integrate the diagram as a whole, and then directly use Copy/Paste
(not Paste Special) to paste the diagram into Word.

1. In PPT, move the cursor on the left top of the diagrams.
2. Keep pressing the mouse and move the cursor to the right corner of the
diagrams. Please make sure all the diagrams have been involved and
integrated as a whole.
3. Press Ctrl+C to copy the diagrams, and press Ctrl+V into the Word
document.

Also, I would like to explain that this behavior is normal that the format
data will be different when we copy from one presentation to another as the
template or slide master may be different in the presentation. However, I
think this issue will not happen if you copy and paste the diagram within
one presentation.

If anything is unclear or you need further assistance on this issue, please
feel free to let me know. I am glad to be of assistance.

Have a nice day!
