Create mark as read rule in Outlook 2007

Alex

Hi Guys,

I use Outlook 2007 and have a following problem:

I need to track my outgoing emails while my company policy is to
automatically delete emails in Sent Items folder that are more than 2
weeks old. So my solution for this problem was to create a rule that
copies all outgoing emails to other folder. Any other suggestions
(beside changing a company policy or the company itself :)) ?

But than I faced another problem that I really cant solve. I always
work with Unread email folder as a primary view. I found it very
useful view. But every email copied by a rule from Sent Items to other
folder, is copied as a new !!! So my unread email view got populated
with emails I really don't want to see there.

So my question is: how can I automatically mark all emails going to
the specified folder as read ?

If you have a different solution (for example not through rules)
please share it with me. It is always fun to learn new things :)

Thanks in advance,
Alik

Hi Robert,

Thanks a lot for a solution. It is a good one :)
Now I don't see those emails in Unread Email search folder.

But I am still curious, is there a way to mark those "copied by rule"
emails as read ?
Thanks in advance
Alex

No, not by a rule but there might be ways to catch this by some custom VBA.
Personally I wouldn't be too bothered about unread items in your Sent Items
folder; simply ignore them. Every now and then a right click on the folder->
Mark All as Read could be more efficient if you're not familiar with using
VBA.

So my question is: how can I automatically mark all emails going to
I have the same problem, but I need to move all sent emails to diffent
folders. Each of these folders holds ALL communications (sent +
received messages) for a person or group. I disabled the "Save copies
of messages in Sent Items folder" and created rules for each person/
group to have outgoing emails copied to their folders. The problem is
more or less solved, the only remaining issue being what Alex
mentioned above: the emails are not moved to these folders, they are
COPIED and marked as UNREAD. It's extremely annoying to see "new"
messages in my unread box every time I send an email. Is there a way
around it, besides writing custom VBAs?

PS: the venerable Calypso email could do this 5 years ago. Eudora can
do this too. Outlook?

Read my "custom Search Folder" reply.
You can do the same for multiple folders. You can opt to separate the
send/received items into separate folders and combine them again via a
Search Folder so it would still be easy to mark all Sent Items as read. You
can even go as far as aggregating all Sent Items folders into a single
Search Folder to mark them all as read even more quickly.

If there is no need to physically store all those items together, I would
drop the rules completely and only use Search Folders instead. It's better
to have multiple Search Folders than too many rules.
