Data from Deleted Project Plan Still Showing up in Project Web Acc

(Using Project Server 2002)

Question: When a project is archived / deleted off the server, isn’t it
supposed to remove all the pertinent data in all locations?

We created a custom view in Project Web Access that can be accessed on the
Projects tab from the "Analyze projects in Portfolio Analyzer" link. However,
after I archived a certain project plan off the EPM server, some of that
project-specific data is still showing up.

Why?
And how can I completely delete it?

It will disappear the next time Project Server 2002 rebuilds the OLAP cube.

Thanks Dale. That's what I thought too, but the OLAP cube rebuilds each
evening (I verified that it rebuilt last night), and I archived this project
plan several weeks ago.

I also checked all of the other project plans on the server to see if any of
them have this particular data on them, but I couldn't find any of them that
did.

Could I have missed something when I deleted it?
(I usually click the check boxes next to "Projects and To-do Lists: Delete
the specified project or to-do list and all its tasks and assignments" and
"Delete the SharePoint subweb for the specified project".)

What is your process for archiving the project? There is no default way to
archive projects in Project Server 2002, so I'm wondering what you are
doing. Let us know and we will try to help.

Our Archiving / Delete Process:

Archiving: I save a local copy of the project plan onto one of our network
folders (just in case we ever need to refer to it again).

Deleting: Then, in Project Web Access, I click on my Admin tab, then the
"Clean up Microsoft Project Server database" link on the left.

I click the check box next to "Projects and To-do Lists: Delete the
specified project or to-do list and all its tasks and assignments" and the
check box next to "Delete the SharePoint subweb for the specified project".

I sort the project plan list by picking the correct Owner, select the
project plan to delete, and then click on the Delete button at the bottom of
that page.

Well, using that methodology should successfully delete both the selected
enterprise project and its WSS subweb. In that case, you should no longer
see the project in a Portfolio Analyzer view once the system rebuilds the
OLAP cube. Given that fact, I'm stumped why you still see the project data.
Perhaps someone else in this group will have some ideas for you. Sorry I
could not be of more help to you.

Hi Tennessee,

You are using the correct method to delete the project plan. But some
times, deletion operation will not be successful. I mean when you are
attempting to delete the project, MS Project Server will perform the
sequence of operations related to deletion (delete MS Project data,
delete PWA data, delete timesheet data etc.). If all these operations
not performed on this step, project data stayed back partially in the
database.

In result, you will not see this project from File->Open dialogue box
on MS Project Professional. We can call these types of projects as
ghost projects.

I seen most of the time, OBBC option will list all the project plans
including ghost projects. I am not sure this solves your issue, but it
is worth to try. Please let me know, if you have any questions

Steps to delete the project plan by using ODBC:

1) Create the system DSN (machine data source pointing to
ProjectServer Database).

2) Launch project professional

3) File -> Open -> Open from File -> ODBC

4) Select the DNS created on step 1.

You will see all the project plans from project server including
ghost
plans.

5) Select the plan that you want to delete and click X to delete the
plan

I also noticed this problem when deleting projects using the Admin function
you described. I downloaded a tool called "PS Cleaner" that seems to work
better when deleting projects and resources. This tool also allows you to
delete multiple projects / resources at once. I can't remember exactly where
I got the download - but you should be able to get it from the Microsoft
website.

Hope this helps.

I also noticed this problem when deleting projects using the Admin function
you described. I downloaded a tool called "PS Cleaner" that seems to work
better when deleting projects and resources. This tool also allows you to
delete multiple projects / resources at once. I can't remember exactly where
I got the download - but you should be able to get it from the Microsoft

Hello,

Here is the link to download PS Cleaner. PS Cleaner allows us to
delete batch delete of projects and resources. But I am not sure in
this case, PS Cleaner will not show ghost project.

have PS 2002.

My developer and I will be testing your suggested ODBC option early next week.

Chak,

Thanks for the tip to delete project using ODBC.

I am using PS 2007. I have a ghost project and can see it in the ODBC
connecting to the Published database. I connected to the database using the
SQL sa account. After click the X and Finish, I got an error "An unexpected
error occured. The document table could not be opened. Contact your system
administrator for the database." I do not see a table called "document" in
Published database. Could you lend a hand?

Hello Christine,

If you are using MS Project Server 2007, please do not use ODBC.

ODBC connectivity is good for 2003/2002 versions.

Please could you explain more detail about your issue.

Chak,

I deleted a project a few weeks ago. It is not in Server Settings, Delete
Enterprise Objects anymore, but some users (not all) still see it in the
Project Center.

If I open it with Professional, a message says "Project Server was unable to
find the specified project. Some possible reasons include: *The project has
not yet been save successfully to the server. *The project has been deleted
on the server. *If the project is available in the Local Project Cache, you
can choose the File menu, select "Work Offline" and then open the project.
If the problem continues, contact your server administrator."

I don't have it in the Local Cache anymore. I just want to get rid of the
ghost project.

Christine,

Question for you, is this project was linked to any of the existing
project prior to delete? If so, when you tried to open the linked
project, you might be see this message. It makes sense, as it was not
finding the linked project because it was already deleted. If this is
the case, delete the ghost link from that project.

If your situation is different from above, try to clear the cache from
user’s machine. Also check the queue, may be deletion process might
not went successfully.

Let's wait and see other folks may have other suggestions.

Thanks for your help. You are right, I don't need and shouldn't use the
ODBC. It was a sub-project and got deleted from the Draft, but not Published
database, a couple weeks ago. To delete a ghost project, In PS2007, under
Server Settings, Delete Enterprise Objects, choose Delete project only from
Published database, I was able to select the ghost project and delete it from
there.
