Delayed Email Send

Version: 2008 Email Client: Exchange My daughter has a MacBook Pro running Entourage on an Exchange Server.

She attempted to send an email to a single recipient who is a professor at her college and recieved an error message to the effect that either the email was too large or the recipient's mailbox was full.

The email had no attachments and was very short. It went immediately to her drafts folder.

She then went into the drafts forlder and clicked send again and it appeared that the email was properly sent.

She sent this message at 0800, but it did not reach the recipient's inbox and did not appear on the exchange server's records until 1130.

The exchange server recorded a successful email sent from her MacBook at 0730 to a different recipient. It also showed other successful emails sent around 1030 and after 1130.

The professor is claiming she never sent the email at 0800. Is it possible that the recipient's inbox could have been full and delayed the email from being sent from my daughter's MacBook until 1130?

Yes, the professor's mailbox could have very well been over quota and
stopped receiving messages until he deleted some messages himself. The
Sent date will not be appended to the message, however, until it has
reached the server, which it didn't until later.

Our server administrators enforce a mailbox quota of 250MB, but they
allow everyone to still receive messages. The enforcement only comes
when sending new mail. Your daughter's server administrators may do
differently. I suggest you ask them how they enforce their mailbox quota
policies.

I'm afraid this will be a classic "he said"/"she said" unless you can
get the Exchange server administrators to examine their log files for
evidence that the professor's mailbox had exceeded quota at that time.
They may not even be able to do that.

If this happens again, I suggest your daughter take screenshots showing
the error message along with the time on her computer. She should
include the Date & Time System Preference in the screen shot to verify
her computer is time-syncing properly.

She should also attempt to send via Outlook Web Access (OWA) if she's
unsuccessful sending via Entourage. If she receives the error message
there then take a screenshot of that as well.

Finally, do as the song "Rikki Don't Lose That Number" says and send
important messages that require a verified time-stamp to yourself as
well as the intended recipient. You'll receive the message with the Sent
time in the headers as well as the recipient's address. This will verify
you've sent the message when you say you did. This is difficult to
dispute when you're using Exchange servers.
