Delegate Issue: I want to use MY categories when in exec calendar

I am a delegate to 3 executives in Outlook; I have my system for categories
and they have theirs. When I receive meeting invites, etc. for them, I want
to assign my category but the system only displays the exec's categories.

Thank you for your response! I support 5 high-level executives and they use
all of the colors for their own categories. As I am a delegate and I do all
of the meeting scheduling on their calendars, I want to use my categories -
but the system only displays theirs (and I do not want to see theirs). They
have already used up all of the colors for their own use - they are not
available for me to use, even if I set it up on their computers. Is there a
way of 'turning off' their categories when I am the person entering the
meetings on their calendars, from my computer? Thank you!

Michael Bauer [MVP - Outlook]

If you work with Outlook 2007, and you access a delegate mailbox, Outlook
shows the categories of the other mailbox, not yours.

You could use Category Manager for that (more details and download, see the
link in my signature): The sidebar always shows your categories.

darn... now I can quickly assign a category in my exec's calendar for a
meeting - but the color I assigned to the category does not display on the
calendar item (ex: want meetings that are conference calls to display as
yellow and face to face meetings to display as orange and travel to display
as blue). Am I doing something wrong with the program? categories are c_Phone
Call (color is yellow), c_Meeting (color is orange), etc. I tried using the
automatic formatting but can't get it to assign the color either. - cheryl

For that you need to add your categories and colors to the Master Category
List of your execs. There's no way around because Outlook looks for the
color in your execs Master Category List, not in yours. But if you do so,
the exec also sees your category and color together with his own. Maybe
he/she wouldn't like that.

Actually, the best method would be that you and the execs use the same
system of categories and colors.
