Deleting Tasks & Users

Hello there :) I am a new customer so thanks for having me!
I work for a company who has recently implemented EPM & MS Project 2007.
We are currently NOT using the "Tasks" feature. EPM for us, has primarily
been installed to capture timesheets for 600 employees, and I believe "Task"
are to be implemented in a later phase, but for now we just wanted the
timesheet culture to commence.
Given the above, we have alot of movements, changes, etc with people
changing assignments, and tasks changing.
I know that I can mark a task complete and "lock it" in the settings to
dis-allow any further time to be added, but what happens if I were to delete
a task that is no longer valid?
Do any of the timesheets that have been booked to that task disappear?
I understand that not using the "tasks" feature may be causing us more
trouble than anticipated, but for now I have to work with it and I just don't
know what the implications to timesheets are of removing users or removing
tasks.
I'd also like to know what the best practise is when someone leaves the
company. Do they simply get made inactive or should they be deleted
entirley? If we delete does it remove all the history and timesheets etc?

HI,

In future for project server questions you may get better answers by posting
in the project server newsgroup.

To try and answer your question: When a timesheet is created, a copy of all
current tasks for the person is made and stored in the timesheet. If a task
is deleted in Project pro, the copy in the timesheet survives. This is easy
to test.

Not implementing My Tasks to update your projects shouldn't cause a problem.
I have a Project VBA macro I can edit that updates projects in Project Pro
by reading timesheet data from the timesheets in the Reporting db. This
makes it easy for PMs to update their projects. Contact me on rod.gill AT
project-systems.co.nz if interested.

When a resource leaves, assign all remaining work of theirs to either
another person or a generic resource. Then if you use AD Sync to add
resources (easiest way) simply remove them from the AD groups they are in
and the resource becomes inactive in Project Server. Otherwise, from the
Resource Center make them inactive and remove them from all groups manually.

Hi Rod
Thanks for that. Can you direct me to the "Project Server Newsgroup"?
Thanks for the clarification that a task does not disappear from timesheets
it has been put to, but what if I want it to disappear from being able to put
time to?
I have a couple of cases, where I've archived projects and the tasks are
still reappearing in user's timesheets.
I guess there's two sides to this, ensuring approved time does not disappear
for deleted or "locked" tasks, but then simply being able to remove or "hide"
the task so it does not appear in people's timesheets anymore (either
automatically or via "Add lines").
Are you able to shed any light?
