Differences between View Timesheet Summary and View Resource Assignments ?

Adrian

Hello,

Could anyone just clarify for me the differences between View Timesheet
Summary and View Resource Assignments, and the circumstances in which the
values may not appear to be the same please ?

What is the impact of approved and not approved updates in these views ?
(Does it make a difference ?)

Many Thanks

Adrian:

The timesheet format is a view that can be applied after selecting to "View
Resource Assignments" from the Resource Center. Is this what you're talking
about? If not, could you be more specific?

View Timesheet Summary is only available when using Managed Periods,
and as it says focusses on timesheet data.
- It does not show sheduled work
- It Identifies whether resource manager has approved timesheet. Can
see easily who has not submitted hours
- Only displays assignments for that week (not future or historical).
Automatically displays all your resources with assignments in that week
- do not have to select.
- Unapproved updates are higlighted in red (TS) or blue (Ass). If PM
does not approve than plan will not be updated. If RM does not
approve, messes up overall control process and reduces values of
Timesheet Summary View.
- Note: Timesheet Status (RM approval) reflects status for selected
period. PM Accept reflects last action/inaction by PM for the whole
assignment (not period based)
- Actual hours should be the same. I guess its possible for them to be
different if plan flagged as out of synch with actuals.

Mike, a couple of clarification questions:

- what is '(TS)' and '(Ass)' below?
- in the 'home' page, one will see 'Timesheet' and 'Updates' sections.
I understand the 'Updates' section to advise me when I, as a PM, have
hrs to approve for any of my projects. I am not sure, however, what
Timesheet is showing / telling me. It states I have 'a timesheet
pending approval' - is this the RM (resource manager)'s job vs the
PM's? what hrs are shown in that area vs in the 'Updates' section?
perhaps the admin time?

TS - View Timesheet Summary
Ass - View Resource Assignments

Timesheet section on home page advises a resource manager of timesheets
awaiting approval or which have not been submitted.

When a timesheet is submitted the project actuals go off to each PM. So
PM does not see a complete timesheet. The resource manager sees the
complete timesheet (if you set up permissions for this to happen).
You need to determine what your approval processes are e.g does PM
approve first or RM or don't care - what is your requirement?

Mike,

Thank you for explaining. I am still striving to crystalize the
difference between the 'updates' and the 'timesheet' section of the
Home page in PWA....
I cannot find information in the Administrator's handbook.
Some of my questions are:
- is the 'Updates' section for PMs to approve time associated with a
task in a project?
- is the 'Timesheet' section for RMs to approve time for ???? and
how does this time differ from the time logged in the "Updates"
section? Perhaps your message is stating that the 'Timesheet' section
is for the RM to see the complete list of time enter by a resource?
and perhaps it is mandated when one's process is to have both RM & PM
approve everything?
- can we ignore the 'Timesheet' section if we have the PMs approving
all time (as all tasks are in a plan and every plan has a PM
responsible for it)?
- and lastly, I thought(!) we had in our security settings that only
PMs approve time - if so, why would one see items in a 'Timesheet'
section of one's home page of PWA?

all help is greatly appreciated!

If you switched managed time periods on in PWA, it provides some
additional capabilities - submenu items which appear on the Resource
Center, they include adjust actuals, view timesheet summaries, and
approve actuals. Your permissions setup will detremine what you see..
In addition to project managers accepting time via the Update page, the
complete timesheet can be submitted to a Resource Manager who can
approve it via the Approve timesheet option. This is a separate and
independent process to the PM project update. It is your choice whether
you have an RM approval process. You have to have the PM update
process

The RM process addresses questions like have all my resources done a
timesheet; have they booked at least 37 hours, etc. The PM process
will not answer these questions, though the Resource assignment view
may help.

Lastly to remove entries from the Timesheet section remove (deny)
timesheet approval permission.
