Direct Formatting

Version: 2008 Operating System: Mac OS X 10.6 (Snow Leopard) I'm using Word 2008. I've created a template and revised all my Heading styles to meet my specifications, including the numbering styles. I've also edited the TOC styles so that I can create a Table of Contents based on my Headings.

The Headings are numbered headings with hanging indents, i.e.,

1. Heading 1 (with hanging indent at .25)
1.1 Heading 2 (with hanging indent at .50)
1.1.1 Heading 3 (with hanging indent at .75), etc.

Everything looks good until I create my TOC. The TOC has added additional tabs in each heading at odd locations, such as .72, .85. The tabs don't show up in the styles, but if I use Reveal Formatting, the tabs show up under Direct Formatting. What is "Direct" formatting, and more importantly, how do I get rid of it.

Thanks

Linda

Hi Linda:

Let me cut a very long story short: Insert your TOC with the Format "From
Template" to preserve the formatting you have applied to the TOC 1 through 9
styles.

If you use any other TOC format, Word resets the TOC styles each time it
generates the TOC.

The formatting of Heading Styles Heading 1 through Heading 9 is ignored by
the TOC generator, it copies only the text.

Let me know if that's not sufficient and I will give you the rest of it.

Cheers

Hi John,

Thanks for your response, but that is exactly what I have done. All of the TOC styles have been modified by me, and when I insert the Table of Contents, I use the template. What is interesting is that if I apply the TOC style to a paragraph in the document, the extra tabs are not there. It is only in the Table of Contents that the extra tabs appear.

In the TOC, if I Reveal Formatting for TOC3, the box lists the following:

Paragraph Style: Indent: Left: 0", Hanging: 0.75", Right 0.5", Left, Space Before: 12 pt., Tabs: 0.75, Left + 6.25, Right, Leader...

Direct: Tabs: 0.54, left

But if I view the style from the formatting toolbox, that "direct" tab does not show up. What is this "Direct" tab and where is it coming from? And how do I get rid of it, cause it keeps coming back every time I update my TOC.

I'm at a loss...

Hi Linda:

No, you've missed it: Use the format "From Template" in Insert>Index and
Tables>Table of Contents...

The samples in the "Document Parts" are all uncontrollable, because they all
use formats other than "From Template".

If you use any format other than "From Template", all of the settings of
your TOC styles are overwritten every time the TOC generates.

Sorry it's taken me a while to get back to this, but again, I have been doing exactly what you indicate. I click on Insert > Index and Tables > From Template. If I click on Modify and check the Tabs, there are just the tabs I want, but when I generate the TOC, extra tabs appear.

When I look at Reveal Formatting, the extra tabs appear as Direct tabs. Where are they coming from?

I don't know: Email me a short sample and I will see if I can spot it for
you.
