Distribution List Name Order

K

Kelly

When I set up a Distribution List with my Contacts, and
then I use this Distribution List in the "To" field for a
new email and then send it, the sent email displays the
individual names in the "To" field instead of the name of
the Distribution List(which is not really a problem) but
it also changes the order of the displayed names. Instead
of being alphabetical like the names in the Distribution
List, the last individual's name alphabetically becomes
the first name displayed in the "To" field and then,
strangely, it goes back to alphabetical order for the
rest of the names. This has happened on different
computers. Sometimes it's important to keep the displayed
names in alphabetical order so the recipients don't feel
slighted. Any ideas how to do this?

Not really. I'm struggling to understand why it matters. Why is this so
important?

Hi Russ,
The reason it matters in a business setting is, as silly
as this may seem, the pecking order of things. For
example, if the president of a company receives an email
from one of his employees that is also addressed to 9
other employees, the president, if he is sensitive to
such things, might expect his name to be the first in the
list of recipients OR he would probably be OK if his name
is in the alphabetical order with the other names. But
the way Outlook 2002 seems to work now, the last person's
name in the list of recipients jumps to the top of the
list and the rest follow alphabetically. Since Outlook
puts the names in the Distribution List alphabetically,
it seems curious that, when you use the Distribution List
when sending an email, the names appear in a different
order.

Goodness.
Then you don't want to use a DL since you can't control how the names will
be expanded. Use a Category or a Contacts Subfolder instead to create your
list of multiple recipients.

Hi Russ -
Thanks for your reply. I understand how a Contacts
Subfolder can help with keeping a makeshift distribution
list alphabetical (when sending an email, click "To",
then select the Contacts Subfolder and add the names as
desired), but I don't understand how a Category could be
used for a distribution list. Could you help me with this?
Thanks.

Hi Russ -
Thank you for all your good and helpful advice. I
sincerely appreciate the time you have taken to advise me
on this DL issue.

Use the View by Category view of your Contacts Folder.
Select a Category Header.
Actions > New Message to Contact

Another option would be to put the DL in the BCC field. Then no one would
see anything and then no one could get their nose out of joint. I'm glad I
don't work where you do :)
