Distribution List Problems

My current problem is that the Distribution Lists in my Outlook Contacts are
showing up as a "address card" now (within the past week).

In the past, I have been able to see the list of members in the list (I can
no longer do that) in order to add new or remove members. This seems to have
occured after a Microsoft update within the past couple of weeks. I did not
notice the problem until I was looking in my contacts and noticed some odd
entries. Some of the "address cards" looked like the name was totally
missing but I could view the address. When I opened the "address card" it
had the name of one of my distribution lists as the name. I recognized the
addresses and corrected the name of the contact -- which made a duplicate
entry in my contact list.

When I checked the address card that showed a distribution list, it came up
as a "card" and not a list of names and email addresses. I sent a test
message to one distribution list and it seemed to work -- sent emails to
everyone on the list. But, I still am unable to now view and/or edit my
distribution lists.

Has anyone else experienced this? What is the solution?

Your post is too vague to know what's going on. Could you be a bit more
clear on what you mean, please? What do you mean your DL's are "showing up
as an address card?" What do you mean you can't open it to see the members?
What are you doing and what isn't happening that you think should?
Make sure you state clearly what view of your Contacts Folder you are using
when you have your problems. Sound to me as if you probably just changed
your view. No update does this sort of thing in spite of your suspicion.
Do you back up your data?

Gee -- I thought I had provided too much information before and you are
telling me I am too vague. So, here goes:

--- Yes, I back up my data quite regularly
--- I have already tested all view for my Outlook Contacts. It is not a
question of selecting a new view. It appears the same in ALL views for
Outlook contacts.
--- In the past -- my distribution list would open up a window and I would
see (hopeully the formatting will stay the same as I try to show you)
NAME1 EMailAddress
NAME2 EMailAddress
NAME3 EMailAddress
and so on.
---- NOW, my distribution list shows up as a card in the ALL views as a card
FULL NAME (with the name only of the distribution list here)
COMPANY (blank)
JOB TITLE (blank)
FILE AS (with the name of the distribution list here)
EMAIL (which is blank)
DISPLAY AS (which is blank)
(and all the other fields on that card showing -- with blank fields)

Without showing you screen shots, this is the best that I can do right now.
Hopefully, this helps you with my question. Oh, I should add that I have NOT
added any new software to the computer or changed any other settings in my
email (Outlook 2007). My antivirus, spyware, etc. are all updated and the
computer has been scanned on a regular basis. And, I have used Outlook 2007
since March 2007.

Still unclear.
Define "as a card." Means nothing to us.
State what you now see when you open a DL and contrast it with what you
think you should see.
You still seem to have changed your view settings. Feel free to send screen
shots to any site you use that supports it and post the URL.

Did you import the DL into outlook? When it gets converted to a contact its
usually because of a failed import.

If you open the backup in outlook (file, open, outlook data file) is the DL
ok? If so, copy (not move) it to the contacts folder then close the backup.

contacts

If she's describing normal behavior, then what is the question?

clear on what you mean, please? What do you mean your DL's are
"showing up
as an address card?" What do you mean you can't open it to see the
members?
What are you doing and what isn't happening that you think should?
Make sure you state clearly what view of your Contacts Folder you are
using
when you have your problems. Sound to me as if you probably just
changed
your view. No update does this sort of thing in spite of your
suspicion.
Do you back up your data?

My current problem is that the Distribution Lists in my Outlook
Contacts

No they don't look like contacts - in the card views you see just the DL
name. Contacts show address, phone, email etc fields. When you open the
DL you see the members list, not address/phone fields.

The OP's DL is damaged.

Yes I know what DL's look like. I see the problem now. Her description said
the appearance of the DL had changed "in ALL VIEWS," I,E, both closed and
open. That's what was confusing I don't think she meant that. I think it
only changed in appearance when open. That's just the symptom of a corrupt
DL, when happens often. That's why I asked if she had a back up, because
restoring from backup is the only way to correct this.

No, I created the DL in outlook a couple of years ago. The only thing I
have done recently was to export the contact list to a .pst file so that I
could use it on my laptop's Outlook while out of town. I have not (NOT)
tried to import it back from the laptop to my desktop. I did check the
laptop, however, and noticed that the DL is displaying the same way on my
laptop. While out of town, I do not recall looking at the contacts. When I
sent messages, I simply typed in the names in the TO line and the messages
went fine.

I just tried opening an Outlook Data File -- not sure if I did it right.
There was no change in my contact list. I do have backups in other places
(like external hard drives, etc.). I'll check some of them. My contact list
is extensisve and I hate to re-enter all the information again. But, it
looks like that may be my only alternative if I cannot figure this out. I
appreciate your assistance -- I have taken screen shots but am not sure how
to post those on this forum. Your responses do indicate that you understand
my problem.

I understand the problem now, too. I just couldn't follow your description
well enough to determine how your DL's had changed and at what level they
were corrupted.
You corrupted your DL's with the export process, which is one of the reasons
you should never use export and import to transfer Outlook data. DL's have
never survived that process, which unfortunately has become more flawed with
each version of Outlook.
There should be no reason you cannot restore the DL's from a backup as long
as the backup wasn't created by exporting. Just open the backup in Outlook
can copy your DL's from it.
There is another long shot you might try as a last resort. A copy of your
DL's is actually stored in the autocompletion cache once you've sent a
message to that DL. That data is retrievable, but would require third party
software to do so.

Yea! Yea! Success!!

I've spent the afternoon (since my last post) working on this issue (and not
anything else). It took awhile but I finally found a backup of my contacts
in a .pst file that I created a couple of months ago. I had exported my
Outlook files to a .pst file on my external hard drive.

I followed Diane's suggestion (thanks so much!!) to open the file as an
Outlook Data File rather than importing it (as I have done in the past when
trying to copy to my laptop). At first, I thought that nothing really
happened. It looked like (on the left side of my Outlook window) that it
only opened one "Personal File" and a "Deleted Items" file. Ugh!! I thought.
And, when I clicked on the Contacts "button" on the left side of Outlook
2007, I just found my original Contacts list with the same problems. I also
tried finding options/things to try on the drop down menus. I even tried
running a diagnostic on all of Office 2007 to see if there was a problem that
the computer could find that I could not.

Finally, I tried the Go pull-down menu and selected Contacts. Then, I
finally found the second set of contacts that were showing up from the backup
file I had opened (remember as an Outlook Data File). There were two lists
of contacts. When I looked for my DL in the second set of contacts (which
are in my backup file), they had the icon of people and identified it as a
group. I opened up one of my DL lists and (hooray!) there was my list of
names and email addresses.

Again, I followed Diane's suggestion and copied the DL from the second
contacts list (i.e. my backup file) to my primary contacts list. Before
closing the second file, I checked and my DL were there in my primary
contacts list. I've backed up everything again just in case the problem
reoccurs.

As I was posting this, I noticed a reply from Valentine coming in that said
there were issues with importing and exporting as .pst files. That is how
that I have always done this. I'll have to experiment now with exporting
differently and see if that works. As I recall, in older versions of
Outlook, I had problems with Outlook data exported in anything but a .pst
file.

Hopefully, this will help others in case they have the same issues.

NOT
added any new software to the computer or changed any other settings in my
email (Outlook 2007). My antivirus, spyware, etc. are all updated and the
computer has been scanned on a regular basis. And, I have used Outlook
2007
since March 2007.

Your post is too vague to know what's going on. Could you be a bit more
clear on what you mean, please? What do you mean your DL's are "showing
up
as an address card?" What do you mean you can't open it to see the
members?
What are you doing and what isn't happening that you think should?
Make sure you state clearly what view of your Contacts Folder you are
using
when you have your problems. Sound to me as if you probably just changed
your view. No update does this sort of thing in spite of your suspicion.
Do you back up your data?

My current problem is that the Distribution Lists in my Outlook
Contacts
are
showing up as a "address card" now (within the past week).

In the past, I have been able to see the list of members in the list (I
can
no longer do that) in order to add new or remove members. This seems
to
have
occured after a Microsoft update within the past couple of weeks. I
did
not
notice the problem until I was looking in my contacts and noticed some
odd
entries. Some of the "address cards" looked like the name was totally
missing but I could view the address. When I opened the "address card"
it
had the name of one of my distribution lists as the name. I recognized
the
addresses and corrected the name of the contact -- which made a
duplicate
entry in my contact list.

When I checked the address card that showed a distribution list, it
came
up
as a "card" and not a list of names and email addresses. I sent a test
message to one distribution list and it seemed to work -- sent emails
to
everyone on the list. But, I still am unable to now view and/or edit
my
distribution lists.

Has anyone else experienced this? What is the solution?

Don't export to any other format - that will kill the dl too. Close
outlook, locate the pst and copy it for backup.

I've spent the afternoon (since my last post) working on this issue (and

anything else). It took awhile but I finally found a backup of my

in a .pst file that I created a couple of months ago. I had exported my
Outlook files to a .pst file on my external hard drive.

I followed Diane's suggestion (thanks so much!!) to open the file as an
Outlook Data File rather than importing it (as I have done in the past

trying to copy to my laptop). At first, I thought that nothing really
happened. It looked like (on the left side of my Outlook window) that it
only opened one "Personal File" and a "Deleted Items" file. Ugh!! I
thought.
And, when I clicked on the Contacts "button" on the left side of Outlook
2007, I just found my original Contacts list with the same problems. I
also
tried finding options/things to try on the drop down menus. I even tried
running a diagnostic on all of Office 2007 to see if there was a problem
that
the computer could find that I could not.

Finally, I tried the Go pull-down menu and selected Contacts. Then, I
finally found the second set of contacts that were showing up from the
backup
file I had opened (remember as an Outlook Data File). There were two
lists
of contacts. When I looked for my DL in the second set of contacts (which
are in my backup file), they had the icon of people and identified it as a
group. I opened up one of my DL lists and (hooray!) there was my list of
names and email addresses.

Again, I followed Diane's suggestion and copied the DL from the second
contacts list (i.e. my backup file) to my primary contacts list. Before
closing the second file, I checked and my DL were there in my primary
contacts list. I've backed up everything again just in case the problem
reoccurs.

As I was posting this, I noticed a reply from Valentine coming in that
said
there were issues with importing and exporting as .pst files. That is how
that I have always done this. I'll have to experiment now with exporting
differently and see if that works. As I recall, in older versions of
Outlook, I had problems with Outlook data exported in anything but a .pst
file.

Hopefully, this will help others in case they have the same issues.

tried to import it back from the laptop to my desktop. I did check the

If you open the backup in outlook (file, open, outlook data file) is
the DL
ok? If so, copy (not move) it to the contacts folder then close the
backup.

Gee -- I thought I had provided too much information before and you
are
telling me I am too vague. So, here goes:

--- Yes, I back up my data quite regularly
--- I have already tested all view for my Outlook Contacts. It is
not a
question of selecting a new view. It appears the same in ALL views
for
Outlook contacts.
--- In the past -- my distribution list would open up a window and I
would
see (hopeully the formatting will stay the same as I try to show you)
NAME1 EMailAddress
NAME2 EMailAddress
NAME3 EMailAddress
and so on.
---- NOW, my distribution list shows up as a card in the ALL views as
a
card
FULL NAME (with the name only of the distribution list here)
COMPANY (blank)
JOB TITLE (blank)
FILE AS (with the name of the distribution list here)
EMAIL (which is blank)
DISPLAY AS (which is blank)
(and all the other fields on that card showing -- with blank fields)

Without showing you screen shots, this is the best that I can do
right
now.
