Distribution lists not showing in TO: field

J

Jim Hackett

I just upgraded from WIN2KPF to XPPROF OS. Also changed
from Outlook 2000 to Office XP with Outlook 2002. Copied
the *.pst file over and everything seems to work BUT:

I can't see distribution lists that are stored in the
contacts folder when I click on TO: or CC: or BCC: fields
on a new message. They are in Contacts OK. I created a
new distribution list adn it sure enough appears in a new
message drop down but then it doesn't appear in contacts!

Help would be appreciated.

You "copied" the PST? What exactly did you do to get the new installation of
Outlook to use your previous PST? You cannot just overwrite a PST without
corrupting the data and/or links.
Do you still have the original PST backed up?

I guess ignorance is bliss after all. I didn't know any
special procedure was required. I did simply copy the
old PST to the new correct location, then edited the new
installation to recognize the newly moved "personal
folder" PST file. Everything seems to work and now I
figured out that if I delete the Microsoft address book
file and then re-add it back it even corrected the
previously reported problem.

In short, all is well now and everything seems to be
working just fine.

Thanks for the reply.

You were lucky. Only the links to the DL's were broken. Next time, don't
overwrite.
To use another PST file (such as one from an earlier installation) and set
it to be the default for your current installation of Outlook, you will
first need to know the location and name of the PST file you'd like to use
as your new default. Then use the following directions, depending on version
and mode of Outlook:

Corporate Mode: (With Outlook closed)
- Control Panel > Mail applet
- Remove the current Personal Folder service
- Readd the service, directing it to the new PST file location
- Restart Outlook

Internet Mail Only mode:
- File menu > Open > Personal Folders file > migrate to the new PST file
location to open it
- Right-click on the root of the new set of folders in the folder pane (View
Folder List)
- Choose Properties
- Check the "Deliver POP mail" box
- Quit & restart Outlook
- Now you can Close the PST file that you were previously using (R-click on
that pst folder while in Folder View and select "Close <foldername>
Folders"). If you have any information in your former PST that you'd like to
transfer to your new default PST, you can drag and drop from one to the
other before you close the old one.

Outlook 2002:
- Go to Tools > Options > Mail Setup > Data Files > Add...
- Add the PST you'd like as your new default, then Close > OK to exit the
Options dialog
- Go to Tools > E-mail Accounts > View or change existing e-mail accounts
- Select the PST you just added in the "Deliver New e-mail to the following
location" dropdown (it will most likely appear just below the current
default Personal Folders file) > Finish
- Exit and Restart Outlook
- You can now close the previous default PST (R-click on that pst folder
while in Folder View and select "Close <foldername> Folders"). If you have
any information in your former PST that you'd like to transfer to your new
default PST, you can drag and drop from one to the other before you close
the old one.

Thanks for the information. I actually did do
the "Corporate Mode" of update since I didn't know
better.

One last question and I'll stop bugging everyone:

In Out 2000, you could organize your address book by
using the "Options - services - Outlook address book -
Adressing" to change the OAB to show "contacts" first
rather than the "Global address book". I don't find this
option in Out 2002. Is this another thing I screwed up?

Thanks Russ. It worked fine. Sometimes I just overlook
the obvious. You've been a great help.
