Duplicate Contact Folders

G

GaryDouglas

Under 'My Contacts' in Contacts, I have two contacts folders: 'Contacts' and
'Contacts in Personal Folders'. The first appears to be empty, whereas the
second has all my contacts/addresses. When I use the 'To' button in a new
email, a message box is displayed saying that 'The address list could not be
displayed...'. Upon clicking OK, I can select the 'Contacts in Personal
Folders' which has my data. Selecting 'Contacts' or 'Outlook Address Book'
does not display anything. I rescently moved my PST file to a new computer
and apparently, in the process, created this problem. When right clicking
the first 'Contact', removing is disabled. How do I correct this so that my
'To' button brings up my contacts directly?

G

GaryDouglas

Apparenly, I've duplicated my 'Personal Folders' and 'Contacts'. How do I go
about removing the extra 'Personal Folders' in Mail? I right moused on each
one and there is no 'Remove' or 'Delete'.

Assuming you do not wish to have 2 data files, set the one you want to use
as the default in your profile, restart Outlook, then close the empty one.
At that point you should be able to display your Contacts Folder in the
address book view:

Click File>Data File Management and remove the extra PST.

There is only one there, and yet I see two 'Personal Folders' under 'All Mail
Folders'.

I'm tempted to export everything I have in Outlook and start over. Any
better ideas?

Did you import a pst file into your current version of Outlook?

Yes - create a new Mail profile, attach the current pst file to it.
And BTW, do NOT use the import/export function to transfer data from one
Outlook to another.

G

GaryDouglas

I originally set up Outlook on my new Vista machine while logged in as Admin.
I set up a new non-admin user and moved the .pst file to that new user. Am
I currently pointed to an .ost and .pst file? Should I have dropped my .pst
file when I started using Outlook '03?

G

GaryDouglas

I corrected my initial 'To' button issue by using Tools?Options>Mail
Setup>E_mail Accounts, selecting Directory, View or change existing
directories or address books, and removing the address book.

Re: Did you import a pst file into your current version of Outlook?
No, I have not imported. Simply moved from one directory (admin user) to
another (non-admin user) directory.

So my remaining problem is, in Outlook/Mail, I have two 'Personal Folders'
under 'All Mail Folders' which have the same data in them. I do not see a
way to remove or disconnect from the duplicate one.

Tools > Account Settings > Data Files
Set the appropriate file as your default.
Restart Outlook
R click the other file and then "Close"

It doesn't tell us anything to know that you've tried "everything you can
think of." Exactly what you tried and what happened would tell us something.
If you've corrupted your profile beyond repair, then you'll need to create a
new one. If you do, then you'll need to make sure you migrate your data

The is no Account Settings > Data Files under Tools in Outlook 2003. I
stated previously that I am using 2003.

From an earlier posting I stated: "I originally set up Outlook on my new

moved the .pst file to that new user's folder. " Additionally it may be

file no longer exists in the Admin folder.

From Mail:
Tool > Email Account > View or change existing email accounts... displays
that I have two email accounts. If I remove the non-Default account, it does
not correct the problem. Under 'Deliver new email to the following location'
drop-down, there are two entries, both being 'Personal Folders'.

Tool > Email Account > View or change existing directories or address
books... displays 'Outlook Address Book / MAPI'. Removing this disables my
Contacts when using the 'To' and 'Cc' buttons.

Right mousing one either 'Personal Folders' and selecting Properties >
Advanced... displays: Filenames point to the same .pst file AND Format is
'Personal Folders File (97-2002)'. Changing the Properties of one of these,
such as 'Automatically generate Microsoft Exchange views', affects the other.

From Contacts:
Under Contacts / My Contacts there are two contact icons. The first one is
'Contacts' and the second one is 'Contacts in Person Folders'. When right
mousing over these, the first one has 'Remove From My Contacts' disabled.
For the second icon it is enabled. I've been reticent able doing anything
distructive such as remove.

No wonder. That is a guaranteed way to corrupt a profile. You can never
rename a PST file in Windows Explorer until you have disconnected it from
the profile. You can never connect a PST file to a profile by simply copying
it to the default location.
You must now create a new profile and use one of the supported methods for
migrating a PST file.
Take a look at these pages for info on Outlook data backup or transfer:
http://www.slipstick.com/config/backup.htm
http://www.howto-outlook.com/Howto/backupandrestore.htm
http://office.microsoft.com/en-us/assistance/HA010771141033.aspx

Note that some of the information on these pages is outdated and no longer
applies to Outlook 2003 or 2007. Specifically:
1. Ignore any advice to copy your PST file to Outlook's default location to
connect it to your profile. Doing so only corrupts your profile. Copy it
anywhere BUT the default location and open it within your Outlook profile.
2. Ignore any advice that tells you to use export or import to transfer
Outlook data. That has never been sound advice, but the process has become
too deeply flawed now to be of any use whatsoever.
