Email with avalability calendar

DrChris

Hi guys,

I want to send an email to my team where they can let me know WHEN
everywhere is unavailable during December, so as to organise an xmas event.

I was therefore wondering if I can send an email out with a December
calendar, where people can select specific days and send it back to me. At
the end this, when all 8 reply, I want to know which days everyone is
available.

I appreciate your help,
Thanks

I'm wondering why you don't just use the schedule a meeting option? This
means you can see blanks in your colleagues, or others on the same LAN's,
schedules and you can select the most suitable time for your Christmas event
from that. Alternatively, and assuming it's an out-of-hours event and maybe
your colleagus don't use their office Outlook for personal entries, I would
create a simple calender in excel or word (table) and send it to my
colleagues as a document ( not attachment ). This way they can update it with
their preferences and mail it back to you. There are also sample calendars
in other MS applications you could use.

However, maybe someone's got a fancier/speedier suggestion.

Thank u for your reply annie.
It is in fact like you said; it is an after-work event and my colleagues
dont store out-of-hours commitments.
I was in fact aware of that solution you suggested - i was hoping though of
a more "straight-forward" for them or automated solution - something like
sending a selectable calendar which they can mail back to me.

Thanks again :)

Try creating a group schedule. You add all yourself and 8 colleagues to it
and when you view group schedule, you can ask Outlook to find a day and time
when you are all available.
