Emailing Access Reports

I am the secretary of a statewide organization. We have 36 local organizations
called Councils across the state. Each month I send out a membership report to
each Council of that Council's members. The report contains about a dozen fields
for each member. Currently the report is mailed to each council; we want to
begin emailing the report. I'm looking here for some recommendations as to
methods to email reports that people have used successfully. All recommendations
are gratefully appreciated!

Tom,

Unfortunately, MS Access does not include any graphics from your report(s)
when you do a straight e-mail from Access (File/Send To/Mail Recipient (as
Attachment . . .). Another possibility would be to make a *.pdf file out of
your report and e-mail that to everyone. The *.pdf looks beautiful and
includes all the graphics. All the recipient would need is the Adobe
Acrobat Reader--most people have this on their computers already. You would
need an application on your computer that generates the *.pdf file. You can
download *.pdf-creating software for free. I use PDF995, which is freeware
downloadable from the web. The way this works is when your Access report is
displayed on your computer, you simply click on File/Print and select
"PDF995" as your printer. Once selected, you name the file, "print" it to a
*.pdf file, and place it in a folder on your computer. To e-mail this new
file, just attach the *.pdf file to your e-mail message. Now, MS Access
also provides a report reader that your recipient must have on his/her
computer to view your graphics the same as Adobe Acrobat. Unfortunately,
not too many people have this reader on their computers; you would probably
have to send every one of your recipients an Access Report Reader. Hope

Export the report as a RTF file. Assuming the recipients
have Word installed on their computer (or the free Word
viewer that's available for download), they can load it and
print from there.

I have used the Access SendObject Method sucessfully.
You can even have a Subject added to the subject line, as
well a various body text plus attachments.
Check out the Microsoft Web site for developers. Search
for "SendObject Method"
