emailing notebook audio

Can someone tell me how to email a notebook file along with its audio?
Tried doing it as an attachment but the person who received it
couldn't hear the audio. What is the trick for doing this? I use a
MacBook Pro OS 10.4.9 and Word v. 11.3. The colleague I'm trying to
send it too also uses Mac but I don't know the versions. Thank you
for your help.

Hi Tracy:

A notebook file containing Audio is usually too big to get through the email
system. Few email systems will allow a file larger than a megabyte.

If you do get the file to arrive, the user at the other end MUST save the
file to their hard disk before opening it. Access to the Audio will be
blocked by their antivirus program if they try to open within their email
program.

Notebook layout was new in Word 2004. If the other user does not have
version 2004, their system does not have the Notebook function. In which
case you need to send the audio separately.

PC Word cannot read Mac Notebook files: you have to convert them to
documents and send the Audio separately.

To send the audio separately you have to extract it to an MP3 file. There's
brief instructions in the Help for getting the audio out of a Notebook
document into a separate file.

Thank you John. I'm not sure what happened but somehow the audio has
disappeared. All I did was save it and later attach it to an email.
You have any idea how to recover the audio? sigh.

No. The audio is either saved in the document or it is not. If it's in the
document, it did not go anywhere. If the document was not saved when you
finished recording, it has gone forever.

The audio will not be available on a PC, PCs can't play Mac Word audio.

Are you sure that the document you attached to the email is the one that
contains (or is supposed to contain) the Audio...

If you open a document from within an email program, record some audio, then
save and close and send the email, the document in the email is not the same
one that contains the audio. It's a different copy of the file...

You need to save the file as a Word 2004 document. If you save it as any
other file type, the audio will be removed.

I suppose it is conceivable that you have a format earlier than Word 2004
set as your default Document Save format in Word>Preferences>Save.

If so, I would expect Word to prompt you when you saved that you were about
to lose information. Assuming you're not the kind of user who automatically
clicks "Yes" to everything, then I don;t think that has happened. Which
leaves us with the possibility that you have two documents with the same
name on your system. One is in your email and doesn't have the audio, and
one is somewhere else and it does.

I'm sure you have explained it well enough: You had a document. It had
audio in it. Now it doesn't!

I just can't work out what might have gone wrong.

How much audio? What file format are you using? What is the size of the
file?

I don't think those things will help.

any duplicate versions. Nothing. Seems like there should be an audio
file somewhere but I haven't a clue where. Really appreciate your help
and patience. Notebook audio seems like it would be a nice asset for

highlights in notes and an audio for the stuff they really need. But I
need solid directions on how to use it and what to do when something

No, there is no "Audio File". The Audio is embedded inside the document!

Hover your mouse over each bullet point and it should offer to play it for
you.

If you do want an external audio file, there is a procedure in the help for
extracting it (which i can't remember...)
