empy field shows up as blank line in merge document

Operating System: Mac OS X 10.5 (Leopard)

Hello Experts,

I am creating mailing labels using data merge from excel to word. When a corresponding data field is blank (i.e. address line 2), word formats it as a blank line instead of "ignoring" the blank field so that the labels look like this:

Mr. and Mrs. Joe Smith
12 Apple St.

Big City, ST 12345

Any ideas how to correct this?

You would get this behaviour if
a. you terminated each line in the label with a hard line feed
(shift-enter) rather than a regular paragraph mark (enter)
b. if you nested your fields inside another field such as an IF field
c. (maybe) there is actually some white space in the relevant field in
your data source
d. (maybe) you started with a document created in another version of
Word and had switched off the "suppress blank lines" option, or had
otherwise managed to do that - however, I am not sure how you would do
that in Word 2008, certainly not without knowing it.

There may well be other possibilities, but that exhausts my list!
