In Entourage 2004 using Exchange I am trying to set the Preferences (or
Options or whatever) so that I cannot view messages without logging in.
The first thing Entourage does is give me a list of messages. If I
cancel through logging in I can still open one message and read the
senders and subjects of many messages currently displayed.
Even if I turn the Preview Pane off I can still open a message and view
its contents without logging in. This doesn't seem right. Is there
something I can do? Thanks,
Without logging in to what? Your Exchange mailbox? Removing the password
from Tools/Accounts/Exchange account (or any account) settings makes you
enter the password before being able to download new messages, but you're
right that the cache of old messages is already displayed and available.
That's because Entourage is designed to work with the Mac OS's own very,
very stringent permissions, and doesn't attempt to supply its own makeshift
ones that you could always get around. (Don't forget that on Windows,
Outlook is linked into the OS too, but has different ways of dong it. It's a
different OS, and Office Windows has the keys to the system in a way that
Office Mac doesn't.)
The way to provide security is to use OS X's logging in to your advantage.
If you want to protect your own Entourage from prying eyes, enable Fast User
Switching in System Preferences/you/Login Options. (Click the lock to make
changes if locked, then lock again after, even if you're the only user.
Every time you step away from your computer, go to the top right of the main
menu bar, click on your user name, and select Login Window. Now no one can
get into anything, including Entourage or your documents. Period. (Of course
you also need to set up a password in Accounts system pref.) If other people
need to use your computer, give them their own User name or a generic Guest
one. They will never be able to get into your stuff without your password.
They can even have their own access to Entourage if you want them to - they
will never get into your Entourage identity. Fast user switching makes
everything really simple - no need for you to quit any app or log out. (If
you're still in Jaguar, this is by far the best reason to upgrade to Tiger
or Panther today. in jaguar, you can still get the same protection, but only
by quitting all apps, saving all documents, and logging out. Too much
trouble.)
