Entourgage 2004 Mail rules

R

Russ Bankson

I use Entourage 2004 for Mac 11.4.0

I create folders/subfolders and assign rules to sort incoming mail.

I typically use the FROM criteria to do so. It seems that many Rules no
longer work. The email comes into inbox instead.

It doesn't seem to affect all Rules so I am thinking that it is not
Entourage but some trick that the sender is using to eusure that it is seen
in inbox. When I select the FRoM criteria for the Rule, what is Entourage
actually keying on? Can this be phished in some way?

It should just use the actual "From" header that appears in the message
source (View > Source), or what appears as the "From" entry in Entourage.

Start by trying to reset the destination folder. Go to Tools > Rules, and
open the problematic rules. Next to the "Move Message" action, click
"Choose folder" in the pop-up menu, and re-select the folder you want.

You can try running the rule manually by selecting the message and going to
Message > Apply Rule > <the rule>. See what happens.

If it works, perhaps there is another rule running on the message first that
is preventing the later one from working. Go to Tools > Rules, and go
through the rules on the list and make sure that "Do not apply other rulesŠ"
isn't checked accidentally. Also, go to Tools > Mailing List Manager. Make
sure there are no mailing list rules running on the message with the "Do not
apply rules" option checked under the "Advanced" tab.

All the rules have the box marked do not apply rules option but it is grayed
and can not be changed. What is the cause of this?

Also I would think that I would want this box checked to prevent some other
rule from interfering

Would someone please clarify? Many messages come into inbox categorized ie
not NONE. These are messages for which I have rules setup I can cause the
rules to function manually but otherwise the rules do not function.

My previous email query was reponded below but I don't understand the
instruction:

³go through the rules on the list and make sure that "Do not apply other
rulesŠ" isn't checked accidentally.
Also, go to Tools > Mailing List Manager. Make sure there are no mailing
list rules running on the message with the "Do not apply rules" option
checked under the "Advanced" tab.²

All the rules have the box marked do not apply rules option but it is grayed
out and can not be changed. What is the cause of this?

Also I would think that I would want this box checked to prevent some other
rule from interfering.

Try using categories instead. Works much better than addresses.

Sounds like a prior rule is action on the messages and they land in the
Inbox _OR_ you have a Mailing List Manager rule that is acting on messages
sending them to the Inbox. Many people accidentally create a MLM rule when
marking a message as junk and the destination box gets set to the Inbox and
because MLM rules run first everything starts landing in the wrong folder.

BASICS:

There are 3 different kind of rules in Entourage:

Mailing List Manager (MLM)
Junk Mail Filter
Rules (custom rules you create)

They run in the order listed above. The custom rules also run in the order
they are listed. (top runs first)

Use the MLM for all lists. Use rules for the remainder. Try to use
categories instead of individual addresses when possible. When a new address
is added to a contact in the Address Book then it will automatically be
acted on by the rule if you use categories in your rules. See example:

<http://www.entourage.mvps.org/rules/example/rule002.html>

1) POP Rules act on a message ONLY when it first arrives in the Inbox (On My
Computer), NOT when it arrives in any other folder. Once it's moved to
another folder it won't be seen by rules.

2) IMAP Rules are meant to act on a message ONLY when it first arrives in
the IMAP INBOX, not when moved to another IMAP folder.

3) Exchange Rules act on a message ONLY when it first arrives in the
Exchange Inbox.

Each type of account has it's own rules. Click on the correct tab to check
your rules. (Mail (POP), Mail (IMAP) Mal (Windows Live Hotmail) Mail
(Exchange), News, Outgoing)

See "Using Rules with Entourage" for help and examples:
