envelope problem

When I try to print an address on an envelope, sometimes Word will not
recognize
4 lines. I have to manually input the 4th line. I have tried the online help
at the MVP site and was not successful. The problem is totally inconsistent.
There doesn't seem to be a common denominator for the problem. I also tried
repairing the Office installation. This was not successful.
Any help will be greatly appreciated.

Are you using the envelope wizard?
Are you selecting the address first?
Does the address have the same paragraph style for each line?
Is the envelope frame large enough for the font you are using?

Maybe you'd prefer an envelope template? Try the samples from my web site
downloads page.

Graham,
Yes, I am using the envelope wizard and selecting the address first.
the paragarph style I'm not sure about.
The envelope frame is an odd shape. Instead of being a nice square according
to the "help" example, mine is rectangular with the address defaulted to the
middle of the rectangle. This setup always works fine for 3 lines. However,
sometimes the 4th line is picked up by the wizard and sometimes it's not. It
will pick up 4 lines for two or three evelopes, then only 3 lines maybe for
several envelopes and then pick up 1 again. This change occured suddenly. I
do not remember making any changes to any formats etc. before this ocurred. I
tried doing an "office repair" once and a "word repair" once as well. Did not
help at all.
So, mama mia I'm confused!

Graham,
This was the help I was refering to. I tried to accomplish what it gave me,
but I failed. I will try again.
Thank you very much for your help. If I have more problems I'll let you know.

Graham,
I tried again to change these settings, but I'm not having any luck.
First, the rectangle I referred to previously is roughly twice the width in
your example. The text inside that rectangle is situated in the middle one
third of the rectangle. I cannot move the text within the rectangle.
Secondly, when I 'modify' the rectangle the only change that's helpful is the
'height' setting for the text, but this doesn't remain fixed if I don't save
the settings obviously. The next thing is, when I exit Word, I don't get a
prompt for saving 'Normal.dot', I get a prompt to save changes to 'Document
1'. My problem seems to be connected to forms that have address lines
separated by a tab ie. formal business letter style. I am getting 4 or 5
lines of address formatted properly once in a while. when I'm working on
these forms. The addressing portion of this task had been working great until
a few days ago. I've not made any changes within Word that I'm aware of. The
only changes have been recently trying to repair the problem.

I sent out some letters yesterday that had the address in a block format and
that worked every time. The addresses were created by cutting and pasting
from a document that was created in a program that usese a table format like
Excel or something.

If you have any ideas, please let

Thank You,
MoJR

The 'rectangle' you refer to is a frame (a bit like a text box). The frame
forms part of the paragraph formatting of the EnvelopeAddress paragraph
style. The simplest solution is to download the envelope templates from my
web site. Open one of them and use the Organizer to copy the Envelope
Address paragraph style from the template to Normal.dot. Or if you have a
correctly formatted envelope document of your own, you can use the organizer
to copy the style from the document to normal.dot.

Graham,
Got it! After I sent that e-mail, I remebered the macros organizer. I think
I actually fixed the problem per your suggestion.
Thanks,

Graham,
I did not fix my problem. Apparently, my lack of knowledge regarding VBA is
keeping me from fixing the problem. How do I copy the address paragraph style
to the normal template?

There is no vba involved. Open the organizer. You will see two windows. You
need to have one window displaying normal.dot the other the file you want to
copy from. If the one you want to copy from is not present, close the one
that is and open it from the organizer. Then select the Styles tab highlight
EnvelopeAddress (and Envelope Return) and copy them to normal.dot,
overwriting the ones already there.

Graham,
Thanks for being patient. I did as you instructed and apparently the problem
is resolved.
I have another question. Why do I need to unlock a form to open the envelope
wizard?
Thank You,
Jim Penrod

G

Graham Mayor

A number of functions are not available to locked forms. This is one of
them.
