executives shud only have access to their own PM projects

hi,
im tryin to setup PWA so that a particular executive has access to view
only say 2 of the PMs projects rather than all the PMs projects. i know there
is some tweaking of PWA but i cant find it in the admin page. please help

Before I can answer your question completely, I need to know the following:

1. Are you using RBS to control Project Server security?
2. If so, are the two project managers DIRECTLY BELOW the executive in the
RBS code structure?
3. And if so, are there OTHER project managers who are also DIRECTLY BELOW
the executive in the RBS structure?

If so, then you can tweak Project Server security with the creation of a
custom Category and Group for the executive in question. If the answer to
#1 is no, then you will still need to create a custom Category and Group,
but using a different approach. Following are the sets of steps you will
need to use if the answer to question #1 is no. You will need to begin by
creating a custom Group by completing the following steps:

1. Log into PWA with administrator permissions
2. Click Admin - Manage users and groups
3. Click the Groups link
4. Click the Add Group button
5. Give the new Group a unique Name and Description
6. In the Users section, select the executive in question from the list on
the left and click the Add button
7. Scroll down to the Global Permissions grid at the bottom of the page
8. Click the drop-down list below the Global Permissions grid and select
the Executives template
9. Click the Set Permissions with Template button
10. Click the Save Changes button

Next, you will need to create a custom Category to control access to only
those two projects by completing these steps:

1. Click the Manage security link in the sidepane on the left
2. Click the Add Category button
3. Give the new Category a unique Name and Description
4. In the Users and Groups section, select the new Group created in steps
#1-10 above and move it to the list on the right
5. In the Permissions grid of the Users and Groups section, click the
drop-down list below the grid and select the Executives template
6. Click the Set Permissions with Template button
7. In the Projects section, copy the two projects in question from the list
on the left to the list on the right
8. In the Available project views part of the Projects section, click the
Add All button
9. In the Resources section, select the All current and future resources...
option
10. In the Assignment views area of the Resources section, click the Add
All button
11. In the Resource Center views area of the Resources section, click the
Add All button
12. In the Project Center views section, click the Add All button
14. In the Portfolio Analyzer views section, click the Add All button
15. Click the Save Changes button

Finally, you will need to remove the executive in question from the
Executives group by completing these steps:

1. Click the Manage users and groups link in the sidepane
2. Click the Groups link in the sidepane
3. Select the Executives group and click the Modify Group button
4. In the Users section, select the executive in question from the list on
the right and click the Remove button
5. Click the Save Changes button

As you can see from the above sets of steps, your reporting requirement for
this executive was no small matter. Let me know if the answer to question
#1 is Yes, and then give me the answers to #2 and #3 as well. Hope this
helps.

hi dale,
thanx for the prompt reply. what i actually wanted was that the executive
be able to view ALL the projects for TWO (2) of the PMs out of the possible
SIX(6) that are in the server. and the answer to your 1st Q is NO. what would
be a solution to this problem. thanx

Follow the steps that I detailed for you in the previous post, and select
the projects that the two PM's are managing when you create the custom
Category. Because you are not using RBS to control Project Server security,
there is no automatic way to meet your reporting requirements. Because of
this, you will need to manually update the projects belonging to these two
PM's in the custom Category. Hope this helps.

thank you dale,
i thought this might be the problem hence i went ahead and added the
projects of the individual PMs to that list of projects. but this as it seems
is a very tedious task since i have to add the projects manually when they
are upped to the server. 1st of all, what is RSB and how would i go about
implementing it to my server here? thank you sir.

You can use the RBS field to show Project Server "who reports to whom" in
your organization. The first thing you would need to do is to open the
Enterprise Global file and build an outline code in the RBS field that
mimics the "org chart" for your organization. Then you would need to open
the Enterprise Resource Pool and enter an RBS value for every resource to
show the system "who reports to whom". After this, you could use RBS to
control which projects the executive could see, assuming that only the two
project managers are positioned directly below the executive in the RBS code
structure. Hope this helps.

i have setup the RBS codes for the organization now. how would i go about
doing it in PWA so that an exec can only view his PMs projects? thanx

Did you build an outline code structure in the RBS field in the Enterprise
Global that mimics your company's "org chart"? Did you set an RBS value for
every resource in the Enterprise Resource Pool? Are the two PM's positioned
below the executive in question in the RBS code structure? Are there no
other PM's positioned below the executive in the RBS code structure? If you
have answered yes to all four of these questions, then do the following:

1. Log into PWA and click Admin - Manage security
2. Select the custom Category you created from the directions in my last
post and click the Modify Group button
3. In the Projects section, remove all of the projects from the list on the
right side of the page
4. In the Projects section, select only the "Allow users in this category
to view all projects managed by resources that they manage" option
5. Click the Save Changes button

Assuming you have performed all of the steps I specified in my last post,
and set everything up correctly in the RBS field and in the Enterprise
Resource Pool, then this solution should work for you to provide the
executive with access to only those projects managed by his two PM's. Hope
this helps.

structure correctly and i did setup PWA properly and everything works fine
