Export AutoComplete entries

Hello. Recently at work where 4 of us share the same computer, we were given
4 different Desktops to sign into instead of the one we were all using for
enhanced security. However, I have our police department's frequently used
phrases and words in Word 2003 on the original Desktop, which we can still
access. However, when I log onto my Desktop and start Word, my AutoComplete
dictionary is nowhere to be found, therefore I find myself working mostly
from the old 4 user Desktop.

I've searched high and low looking for a way to import those saved entries
into Word on my Desktop, but I can't find it anywhere. I've Googled until I'm
blue in the face, with negative results. The suggestions within Word Help
haven't helped either. Can someone please help me?

Thank you garfield-n-odie for the very fast reply,

I believe AutoText is what I meant to say, and I'll check today when I get
to work to make sure. I'll also report back with the version of Windows we
are using at work (I believe its 2003 as I said, but I'm not 100% sure), and
what version of Windows we use as well. Strange how such things are
overlooked even though I use them everyday.

On a different note, I do love my new home HP Vista Home Premium machine
with Office 2007, including Word 2007. Stunning is the only word I can think
of!

Thank you again, and I have saved both pages and put them on my flash stick
drive to take to work with me tomorrow. The only thing with one of them is,
we can not install/download anything at all onto the computer, as it is
grounds for dismissal.

Can you email files to yourself? That would be another way to import your
AutoText entries from the old machine. Or explain the situation to your
corporate IT department and ask them to copy the AT entries (you can put
them on your flash stick and use the Organizer to copy just the AutoText
entries from it to Word 2007).

Can't you simply log on to the 4 users desktop, open a blank page, go to
macros then organizer & copy your autotext from the normal template into the
blank document, save that document, then open it back up on your individual
desktop then transfer to your own template?

Yes Suzanne, I can E-mail my Desktop as we all now have our own E-mail
accounts, and that's how I got all of the other Templates we use. But how
would I go about doing that with the AutoText custom dictionary please?

PJY, I thought I was pretty good with Word, but you have me by leaps and
bounds...which is a good thing because I love to learn. I don't know a thing
about macros, other than I've heard the word and I know they are very useful
from what I've read in PC Mag and Online, so I don't have the first clue as
how to do as you suggest. Would Word Help guide me through it?

Your AutoText entries are saved in Normal.dot (unless you specifically chose
to save them elsewhere). Just email yourself a copy of the old Normal.dot
(be sure to rename it before copying it to the new HD), and then use the
Organizer to copy the AT entries to the new Normat.dotm (or whatever it's
called).

It is really very easy and you don't even have to make a macro. 1st - log on
your 4 user way. 2nd - open and save a blank page somewhere that you can get
to it when you are the only user. 3rd (with your blank doc open) go to Tools,
Macro, Macros, Organizer, then select the Autotext tab. On the left side will
be the info from your open document and may or may not have any autotext
entries, on your right side you will have your normal template info which
should have all your autotext entries in it. Now you just highlight them all
and select copy. Now when you log on as the only user, just pull that
document up repeat the 3rd step but copy in reverse (copy left to right
instead of right to left) and all your entries will be there for you to use
just as you as used to having them when you log on the 4 user way. I like
learning new things, too, so it's nice to help someone else learn!

I just got home from work, sorry I couldn’t respond sooner. Thank you all who
have responded, garfield-n-odie, Suzanne and PJY. But I still can’t get
things going on my Desktop, however, I did figure out a workaround, but I
won’t even describe it, as it is pretty embarrassing.

If this helps, at work we’re using Word 2003 SP2 Version 11.6568.6568 on a
Windows XP SP2 Version 2002 machine.

Suzanne, can you elaborate on saving AutoText entries in a template please?

PJY, when I try your suggestion, the AutoText entries are the same on both
sides, and I get the following messages:
Do you wish to overwrite the existing AutoText entry – Page – 2
with the following 4 options: Yes, Yes to All, No, Cancel
When I click Yes to All, I get: The source and the destination documents are
the same.

Then when I click OK, nothing else happens, no more options are given.

We do have two Normal.dot (global template), one is named Normal.dot – Page
– 1 and the other (my custom AutoText) is Normal.dot – Page - 2, if this
helps any. And is it OK to have more than one Normal.dot template? Can I
safely delete the original Normal.dot (global template) template, as no one
uses it anyway, and the entries in it are in my Normal.dot – Page – 2 anyway?
I’m the only one who types in Word and then copies and pastes the text into
our application at work (the police report narrative, all police reports must
have one, no matter how short, or long, thus why I have saved commonly used
words and phrases). The other 3 users are faster and trained typist than I
am, so the extra boost I get from AutoText really saves me much time. I’m
known as the fastest hunt and peck typist anyone has seen, the real typists
here are amazed at the amount of work I produce and the accuracy. Nothing to
be proud of I know, but thank God I’ve survived nearly 7 years here now (I am
proud of my accuracy rating though, as I seldom have any typos, and get very
angry at myself when I do).

Suzanne, I tried your idea as well, and I’m running into the same problem as
listed above with PJY’s solution.

I’m at a loss here, as I can’t grasp what is going on. It is probably
something very simple I’m overlooking, that usually tends to be the case for
me. I’ll spend several weeks trying to figure out something, and then when I
finally get to that “Eureka!†moment, it was so easy it was downright
sickening.

If you have any other ideas, please pass them on.

Word cannot use more than one Normal.dot template. If you have templates
named as you specified (Page 1 and Page 2), then they are not being used as
*the* global template; they may be document templates based on Normal.dot.
But a template based on Normal.dot will not contain *any* AutoText entries
unless you have added them explicitly; see "WD2002: Styles and AutoText Are
Not Copied to New Template Based on Normal.dot" at

When you use the Organizer, you have to be sure that you have the correct
two templates selected and that you're copying from the right one to the
right one. If you're not finding any but the standard AutoText entries in
Normal.dot, then it's possible that the specialized ones are saved in
another template. When you create an AutoText entry, you can choose which
template it's stored in--Normal.dot (by default) or a specific document
template if the document you're working in is based on a different template.

Thank you Suzanne,

That has shed more light on the subject for me. I'll go from here and see
what I can do. I will confess how I've don the workaround at the moment. I
placed a shortcut to the Normal.dot Page 2 onto my Desktop, and have saved
copies of the Affidavit Template and a copy of the Word template with those
AutoText entries that I use selected (however, 1 have 3 to choose from using
the drop down menu - one of which has only the standard AutoText
definitions/words, closings, dates, etc.).

Thank you again for sharing your wisdom, and I'll check out the link
provided in more detail when I get home from work tonight, but I'm in a rush
right now to get ready. Thank you again, Leonard
