Export Outlook Folder to Excel?

J

Jim Johannsen

I know I have done this before but when I follow my notes, I try to Map
Custom Fields, and all I get in the left box is what appears to be a
standard "Value"selection list instead of my custom Outlook folder fields.

I have W2000 and Office 2000 on one system and 2003 on another. Whichever
is easier if there is a difference.

I have scanned previous messages but don't find this condition. What am I
doing wrong?

Assume you mean "standard value selection" to mean the usual fields. If
that's the case, then you're corect since you can't export custom fields
(either as user-defined using a standard form or custom fields defined in a
custom form).

While we don't have a public solution to this issue yet, we do expect to
have a new product available for "early private beta" within the next few
weeks that will do what you're looking for and a bunch more (will include,
PDLs <personal distribution lists>, GAL <global addressbook>, and GDG's
<global distribution groups> - depending on edition) for all versions of
Outlook '2000-2003 - Exchange '2000-'2003. If you're interested - please
send me a private email with your configuration specs - i.e. personal versus
corp, version of Outlook (Exchange if you're using it) etc.

Karl - Thanks for the info. I will send you the info you requested by
private mail.

However, I am a bit confused because I know I did this same export from
Outlook to Excel before. How do you suppose I did that?

Jim,

If you were able to export any kind of "user-defined" or "custom field"
before WITHOUT some sort of custom code - we'd certainly be <all ears> as
I'm sure would many others. Will also go so far to say that it would be an
approach we'd gladly tell others about instead of buying any of our
products. Would fit right in with an audio-visual training package we're
putting together on data movement within Outlook. The first segment in that
series is going to focus on why and when NOT TO import/export.
Unfortunately, there is not way to EXPORT.

However, thinking about it, if you created a specific view within Outlook
and copied and pasted the results into Excel - you probably would be able to
simulate this.

Look forward to your email. Please reference this forum message thread when
you do send it.

When you are in the Map Custom Fields screen, the "standard value selection"
is the name of the box on the left that has the fields to select from.
However, just now my system just calls the box "values". Very confusing.
Why is the box called Map "Custom" Fields if you can't select your custom
fields.

I just tried clicking "next" on the Map Custom Fields screen and it
transfers all of my data to an Excel spreadsheet. There is extensive
editing required, deletion of many fields, and some data in the fields
transferred is missing but this may be what I did before. However, I don't
remember having to edit everything before.

Will leave the question as to why the button was named "Map Custom Fields"
to someone else :) but no version of Outlook that I'm aware of has ever
provided the capability to export (or import) user-defined fields or use any
"custom field" defined on a custom form.

All that happens on the screen you're referring to is the selection process
of the fields you want to export but here is some thing to make note of:

If you have never completed an import/export function before - the right
hand side of the screen will be blank otherwise Outlook will remember the
fields selected from the last import/export function you completed. If
that's the case, then you simply need click on "Clear Map" and proceed with
selecting your fields.

Outlook will remember the last import/export activity that occured but it
does not provide the capability to create an import or export template for
future use. Ergo, if you only do ONE thing all the time, you could just go
ahead and run the action repeatedly without any "editing or mapping". For
some people, that's all they need. However, if anything different happens in
between you'll have to redo the map selection.
