Exporting to XLS doesn't show email fields.

Overview:

I am using Outlook 2007. I am trying to export my contacts to
excel.

I am using Windows XP on an IBM Thinkpad.

I am using Microsoft Office Enterprise 2007. Clean installation with
all previous versions of Office uninstalled.

Problem:

The problem is that the resulting excel file does not contain any of
the emails.

Procedure:

I do: File -> import and Export -> Export to a file -> Microsoft
Excel 97-2003

The xls file that gets exported from Outlook 2007 has the following
fields: "EmailAddress EmailType EmailDisplayName Email2Address
Email2Type Email2DisplayName Email3Address Email3Type
Email3DisplayName", in the following columns: “BF BG BH BI BJ BK BL
BM BN“.

None of which is populated even though I see the email address in
Outlook 2007.

One scenario where no email info would be exported via Outlook's export
wizard is if the email addresses are not resolved (i.e. email address is
present in the field but isn't underlined when you view the email address
after opening the contact). Is that by chance true in your case? Also, is
there a value displayed in the Email DisplayAs field on the contact form?

a) Primary Exchange Mailbox? (cached or non-cached?- online or
offline?) or
b) PST?

Just in include/exclude some potential areas:
#1 - Is it just the email fields that are not being exported?
#2 - If you export this same data to a CSV file and open it in Excel - are
the results the same?, If yes,
#3 - If you create a new contact folder, create/save a new contact with an
email address and then export - are results the same? if yes
#4 - if you create a new PST file whether original source is Exch or PST and
repeat step#3 - results still the same? If original source is PST and the
export is successful with new PST file - run ScanPST on the original PST
file to eliminate any potential underlying errors

Depending on results above, if everything stills turns out negative, would
suggest running Office Diagnostics just to take that out of the equation of
possible problems and then try the export again.

1. Email fields and ‘HomeCountry’. All other fields are just fine. I
don’t care much for ‘HomeCountry’ as that is easy to fill in later.
2. Yes. The problem exists in CSV and in Access.
3. Yes. Like I said above, I actually typed 2 entries in Outlook and
did an export and the emails were not there.
4. I don’t think that is relevant here. I’ll explain below.

** The main reason I’m doing this is: I want to move my contacts from
the Palm software to Outlook so that I can sync it with my new phone.
So my plan was:
1. Export from Palm to Excel (let’s call the file PalmExcel).
2. Export from Outlook to Excel (let’s call the file OutlookExcel).
3. Copy/Paste from the PalmExcel to the OutlookExcel.
4. Import “OutlookExcel” into Outlook and sync with my new phone.

I started having problems in step 4 with emails not importing. So I
created 2 dummy entries in Outlook 2007 to debug and that’s when I
realized that they didn’t export. My thinking is that if I can figure
out why they didn’t export (format, maybe?) then I can figure out how
I need to put them in OutlookExcel so that they would import
successfully.

I hope I didn’t confuse you/me with the import/export and all the back
and forth.

Also – If you have any insight or a better way to move contacts from
Palm to Outlook, I’d appreciate the advise.

When referring to "source" of the contacts - was referring to where/how the
contacts are stored (i.e. where the contacts are being exported from) so
would have to be either a PST file or from an Exchange store. If you're not
working in a corporate environment - then would assume that the contacts are
in a PST file.

The purpose of the questions was to try and narrow down where the potential
problem could be - a corrupt file (PST file) or a problem with your Outlook
configuration. From the sounds of things - I would certainly run ScanPST on
your PST file (again assuming that you are not connected to MS Exchange) as
well as running Office Diagnostics. Step #4 in my previous post would also
be a worthwhile task to perform to verify whether or not the issue is data
related or not.

As for your original problem with emails not importing correctly - would
have started with that and describe what exactly what the problem was since
in a lot of cases, the problem with not importing "email addresses" comes
down to the email address simply not being mapped to the correct field. So
to that end......

What exactly happens if:
a) you create a new PST file
b) create a contact folder within the PST file
c) import your PalmExcel file to the new contact folder (making sure that
the email address is mapped to the "Email Address" field (one of the three
fields when "Email" is expanded) - be sure you manually map the fields on
the import and that the email address is mapped correctly

Are you saying that this does not work on your system? If so, why not - what
happens (or doesn't happen as the case may be)? (and I would definitely run
Office Diagnostics before doing the above and most certainly use a different
PST file (regardless of whether or not you are connected to Exchange) for
the import to remove any possibility of a corrupted file.

Thanks for the info...

More to come later but I want to post this now in case someone else is
running into this problem. This may help and save you from getting
frustrated for now reason.

I hate to sound this way but I think there is a bug with Outlook 2007
running on Windows XP.

I installed Office 2007 on my other laptop running Vista and I don't
see this problem. My OutlookExcel (see above) has the email and the
home country fields. Moreover, when I import my new entries (the ones
that I copy from PalmExcel), the email fields and the country field
imported fine.

One glitch I ran into though is: When you copy from PalmExcel to
OutlookExcel, do "Insert Copied Cells' before the dummy entries in
OutlookExcel. If you simply "Paste" the cells at the bottom of the
file, they will get ignored.

Again this is just preliminary analysis but I just wanted to help out
those who may have the same problem.

To tell you the truth, this is an instance where this could result in
endless messages back and forth with mixed or no results as to cause.
Typically only takes minutes (or in some cases, only seconds) for us to
isolate an issue if the actual data can be viewed/tested (and it is an
actual data issue versus a system configuration problem).

#1 - Re: bug with O'2007/XP - as far as the importing process goes, same for
all versions which hasn't changed at all.
#2 - Re: the difference between "Insert/Paste cells" indicates a difference
in the contents of the Excel worksheet in how the cells are created so don't
see how that makes a difference between XP and Vista since what you are
referring to would occur in the Excel file.
#3 - The fact that you mentioned that whatever the issue is applies to both
text (CSV) and non-text files (Excel/Access) gives me pause given the
previous note since the formats use different data drivers to process the
file so something is not making any sense at all when taking everything into
consideration

If you're inclined, feel free to send us sample data files of things that
work and don't work to <support @ contactgenie.com> complete with a detailed
explanation of events and we'll test the data both with Outlook's wizard as
well as our own products. Will post the results back here in terms of what
is or isn't found to maintain the thread (please don't send anything
directly to me but do reference that it was requested via the newsgrou).
Don't need complete files, just one or two sample records of things that do
and don't work (and you have also checked the files being sent prior to
sending them). We gladly check this kind of stuff since we use submitted
cases to improve ContactGenie products (where and when applicable) if a new
issue is uncovered.
