General to Specific Resource

Rob

I have MSP 2007 Pro - Not using server yet though.

I built a scheduling using lets say "Analyst" at 150% availability
(representing two). 150% because we account for administrative time so the
most any reasource is avail is 75%. I now know the specific "Analyst"
resources.

How do I go about distributing the two resources accurately without pushing
the schedule to the right? I assume there is only(likely) one way to do so
in a complex schedule that will result in the same exact end date?

Hi Rob,

Do you want to keep the one Analyst (150%) resource or replace it
with two named resources at 75%?

Have you assigned the Analyst at 150% to any task? If you have,
you'll need to remove that resource and replace with the two named
75% resources.

For example, if you have one resource assigned at 150% to a one day
duration task, the resource will be scheduled for 12 hours of work.
If you replace that 150% resource with only one resource at 75%, the
duration will expand to 2 days to allow one resource to do the 12
hours of work. Assuming the task is effort-driven, assigning
another resource at 75%, will drop the duration back to one day,
keeping the work at 12 hours.

I suggest splitting your screen using Window > Split to show the
task form. Review the units, duration, and work and make the
re-assignments as needed.

I hope this helps. Let us know how you get along.

Thank you for the quick response.

On the resource sheet I did 150% (assuming we were going to use two) but for
all tasks I did 75% because only one analyst will be working on any given
fixed work task for this project. I now know the names of the two analysts
and want to go about replacing the analyst assignment at the task level with
a REAL person now.

In doing so, I want to allocate them (75% per) in a similar fashion to how
project used the single analyst resource at 150%.

Hello Rob,

It doesn't sound like you assigned the 150% Analyst to any task
using the full 150%. Go to the Resource Sheet and create two
separate resources for the two "real" analysts. Set the max. units
for each new resource to 75%. You should then just be able to use
the Assign resources dialog box to replace the "placeholder" Analyst
assignment at 75% with the "real" person at 75%.

The Max units of 150% doesn't come into play -- it's the assignment
units that are key. Assuming the "placeholder" Analyst and the
"real" Analysts have the same working definition (same calendar
working time, nonworking time), it will be a simple swap.

I hope this helps. Let us know how you get along.

Thanks for the response Julie. I think we are getting warmer, but still not
there yet.

Example: If I have a two task(exact same) project which both use the
"Analyst" resource assigned at 75% but have their availability on the
resource sheet at 150% because I know I will have two of them, but just do
not know who the two are, then those tasks will calculate when leveled to
occur at the same time.

In the scenario, it is increadibly easy to figure out who to replace where.
My schedule is a bit harder to figure out who to replace where.

How do I go about replacing them without incorrectly putting someone in the
wrong time slot and thus lengthening the schedule?

I might have it!!!

Filter for tasks with "Analyst" name. Sort by start. Looks pretty easy
from there just to drop one person or the other.

Feedback?

You've got it Rob! Working with a filtered list is a great way to
work. You can also use the Graphs button on the Assign Resources
dialog box to get a quick view if the resource you have selected is
already assigned to other work.
